AVANT is seeking a fast-paced, self-driven, relationship-minded individual to join the Vendor Engagement team. The Vendor Engagement Coordinator (VEC) supports the team by managing processes and communications for both assigned and unassigned vendors in the AVANT portfolio. This role acts as a key liaison, ensuring smooth information flow across departments and maintaining strong vendor relationships.
In addition to operational coordination, the VEC plays a vital role in driving revenue by actively promoting and selling Pathfinder Engage packages and marketing sponsorship opportunities to vendor partners. This requires a confident, persuasive communicator who can identify value, tailor messaging, and close opportunities that align with AVANT’s strategic goals.
The VEC collaborates closely with Vendor Engagement Managers, Sales, Finance, Marketing, and vendor representatives. Success in this role requires exceptional organizational skills, interpersonal savvy, sales acumen, and critical thinking in a dynamic, fast-changing environment.
At this time, we are unable to consider applicants who reside in or will perform work from California or Washington due to business and operational requirements.
Employees located in the Greater Chicagoland Area or Dallas/Frisco area are currently expected to work from the office 1 day per week; however, this is subject to change.
CORE RESPONSIBILITIES:
Relationship Management:
• Facilitate vendor relationships throughout the lifecycle of their partnership with AVANT
• Serve as the primary point of contact for unassigned vendors
• Distribute and manage vendor communications, including product & pricing updates, promotions and SPIFFs, general announcements, and website content updates
• Develop a working knowledge of AVANT and its Support Organization
• Answer questions about Marketing sponsorship packages (MDF) and Pathfinder from interested vendors
Vendor Meetings & Events:
• Participate in vendor meetings, advisory councils, and tradeshows
• Prepare vendor packets (e.g., account plans, commission history, billing, scorecards)
• Compile and summarize survey feedback for Vendor Engagement Managers
• Register vendor attendees and track panelist information and collateral
Pathfinder Engage:
• Support selling Pathfinder Engage (software) sponsorships to partnering vendors, to hit an annual goal
• Assist the VE team with documentation and sales materials to support the above
• Support VOM with Product/Dev team, backed by VP of Programs
• Document and track funds/commitments from vendors
• Managed users, including setup and deactivation
• Lead Pathfinder Demos as needed for all unassigned vendors
Administrative Support:
• Coordinate meetings, conference rooms, and training sessions
• Schedule and support Vendor Spotlights and Trainings
• Manage the Vendor Loyalty Program and Hustle Awards (tracking and gift distribution)
• Maintain vendor contact information across platforms (website, Salesforce, Pathfinder)
• Oversee vendor engagement email inboxes and communications
• Answer emails coming into VE inbox or send them to appropriate person
• Post and update vendor content (promotions, trainings, SPIFFs) on Pathfinder
• Handle new vendor onboarding (content requests, website setup)
• Send customized communications on behalf of Vendor Engagement or Finance
• Execute special projects assigned by leadership
• Reference vendor agreements, Pathfinder, and Power BI to answer basic contract questions
· Bachelor’s degree in business, communications, or equivalent experience
· Minimum 2 years of experience in technology sales, marketing, or a related corporate role
· Proven ability to sell and promote programs or services—experience with sponsorship sales or solution selling is a strong plus
· Strong interpersonal skills with the ability to build trust, influence stakeholders, and drive engagement
· Excellent communication and public speaking skills, with the ability to tailor messaging to different audiences
· Highly organized with strong follow-up and time management abilities
· Capable of summarizing and relaying relevant information effectively to support sales and relationship-building efforts
· Independent decision-making and problem-solving skills with a proactive, results-driven mindset
· Comfortable working both independently and collaboratively in a team environment
· Proficient in Microsoft Office and able to quickly learn industry-specific software and CRM tools
