Position: Proposal Coordinator
Location: Remote — Philippines (with daily collaboration across U.S. and global teams)
Reports to: RFP Manager (Proposal Strategy & Operations)

About the Role

We are seeking a highly organized Proposal Coordinator to support government and healthcare RFP submissions. This role ensures proposals are submitted on time, compliant, and professionally assembled while helping expand strategic purchasing registrations and certifications.

Key Responsibilities

Proposal Coordination

  • Coordinate end-to-end RFP submissions across multiple service divisions.
  • Ensure 100% on-time submission for approved opportunities.
  • Draft initial proposal responses and narrative sections for review.
  • Prepare complete submission packages including forms, pricing, certifications, and attachments.
  • Manage submission portals for agencies, counties, and healthcare partners.

Opportunity Research & Reporting

  • Prepare Go/No-Go summaries including contract value, term, incumbent information, and risks.
  • Maintain the centralized RFP tracker, deadlines, and CRM records (HubSpot).
  • Support win/loss reporting and proposal documentation.

Registrations & Certifications

  • Manage registrations for GSA, CMAS, NASPO, and other cooperative purchasing vehicles.
  • Maintain and track business certifications such as WBE, MBE, and Small Business designations.
  • Monitor renewal deadlines and required documentation.

Qualifications

  • 4–8+ years of proposal coordination, RFP writing, or government contracting experience.
  • Experience drafting proposal narratives.
  • Familiarity with GSA, CMAS, or cooperative purchasing vehicles preferred.
  • Strong skills in Microsoft Word (advanced formatting), Excel, and Adobe Acrobat.
  • Experience with HubSpot or other CRM systems.
  • Excellent written English and strong attention to detail.
  • Ability to work independently in a fast-paced environment.
