  • Serve as the first point of contact for incoming patient inquiries and manage phone, email and text communication with clarity and empathy
  • Schedule, reschedule and coordinate patient appointments, manage clinician calendars, and send appointment reminders
  • Update and maintain patient records, collect and organize intake forms, referrals and authorizations, and ensure EMR data hygiene
  • Track insurance information, authorizations and coverage details, and provide administrative support related to billing, verifications or clinical workflows

Job description

We’re looking for a Medical Virtual Assistant who can bring organization, accuracy and warmth to a fast-moving healthcare environment. You’ll support clinicians, administrators and patients by managing scheduling, communication, documentation and day-to-day operational workflows.

This role is ideal for someone who thrives in high-touch environments, understands the importance of accuracy in medical settings and can stay calm and organized even when juggling multiple priorities. What You’ll Work On

Patient Communication and Support

  • Serve as the first point of contact for incoming patient inquiries
  • Manage phone, email and text communication with clarity and empathy
  • Assist patients with questions about scheduling, documentation, treatment plans or general requests
  • Direct patients to the correct clinician or department as needed

Scheduling and Calendar Management

  • Schedule, reschedule and coordinate patient appointments, evaluations and follow-ups
  • Maintain organized clinician calendars and manage time blocks, cancellations and conflicts
  • Communicate appointment reminders and updates to patients

Medical Documentation and Coordination

  • Update patient records and ensure information is accurately documented
  • Collect, review and organize intake forms, referrals and authorizations
  • Assist with maintaining EMR data hygiene and workflow consistency

Insurance and Administrative Support

  • Support patients by reviewing or gathering insurance information, coverage details and visit limitations
  • Track authorizations, documentation requirements and outstanding requests
  • Provide administrative support tied to billing, verifications or clinical workflows

Operational Efficiency and Workflow Support

  • Maintain organized systems for communication logs, paperwork tracking and outstanding tasks
  • Flag issues that impact patient flow, scheduling or compliance
  • Contribute to improving SOPs, communication processes and administrative efficiency

What You Bring

  • Experience in medical administration, virtual assistance or patient support
  • Strong communication skills with a warm, clear and empathetic approach
  • Highly organized, detail-oriented and able to manage multiple tasks at once
  • Tech-savvy and comfortable learning EMR and scheduling systems
  • Calm under pressure and able to support patients who may be stressed or overwhelmed
  • High follow-through and reliability
  • Ability to work independently and maintain confidentiality at all times

Nice to Have

  • Experience with EMR software such as Athena, Kareo, RainTree, SimplePractice or similar
  • Background in healthcare, therapy practices or clinical operations
  • Familiarity with insurance verifications, authorizations or benefits explanation
  • Previous remote patient support experience
