Roles & Responsibilities

  • Exceptional organizational skills with the ability to juggle multiple tasks, manage priorities, and operate in a fast-paced environment.
  • Tech-savvy with CRM proficiency (High Level, ClickUp) and task management tools (Asana, Notion); knowledge of QuickBooks and spreadsheets is a plus.
  • Strong communication skills: fluent in American English with excellent written communication and ability to connect with clients and team members.
  • Problem-solving initiative: self-motivated with a 'figure it out' mindset; proactively address challenges with minimal supervision.

Requirements:

  • Executive Support: Manage calendar, schedule meetings, and handle day-to-day administrative tasks to free up leadership time for sales and strategy.
  • Client Communication: Serve as the main point of contact for customers; handle inquiries, troubleshooting, and provide updates via phone, email, social media, and text to ensure client satisfaction.
  • Documentation & Inventory Management: Manage documentation, inventory tracking, update records in FillQuick, and coordinate technician schedules to ensure smooth operations and accurate reporting.
  • CRM & Administrative Coordination: Maintain customer records and tasks using High Level, ClickUp, and Asana; assist with downloading/uploading documents to QuickBooks; coordinate payroll and manage technician e-sign documents.

Job Requirements:

  • Exceptional Organizational Skills: Ability to juggle multiple tasks, manage priorities, and keep operations running smoothly in a fast-paced environment. 
  • Tech-Savvy & CRM Proficiency: Experience with CRM systems (High Level, ClickUp) and task management tools (Asana, Notion) is essential. 
  • Knowledge of QuickBooks and spreadsheets is a plus.
  • Strong Communication Skills: Fluent in American English with minimal accent, excellent formal and casual written communication, and the ability to connect with clients and team members. 
  • Problem-Solving & Initiative: Must be self-motivated, have a figure it out mindset (A2FSO), and proactively address challenges with minimal supervision. 
  • Attention to Detail: Proven ability to handle tasks with high accuracy, particularly in managing documentation, inventory, and customer communications. 
  • Goal-Oriented & Client-Focused: Driven to achieve goals, follow directions precisely, and ensure an outstanding customer experience with every interaction.

Core responsibilities:

  • Executive Support: Manage calendar, schedule meetings, and handle day-to-day administrative tasks to free up leaderships time and allow them to focus on sales and strategy. 
  • Client Communication: Act as the main point of contact for customers, handling inquiries, troubleshooting, and providing updates via phone, email, social media, and text to ensure client satisfaction. 
  • Documentation & Inventory Management: Manage inventory tracking, update records in FillQuick, and handle technician schedules to ensure smooth operations and accurate reporting.
  • Administrative Coordination: Assist in downloading, organizing, and uploading documents to QuickBooks, coordinating payroll, and managing technician e-sign documents. 
  • Customer Support & Issue Resolution: Respond to customer queries, handle Facebook/Instagram ad engagement, and assist with proposal creation to support ongoing sales efforts. 
  • Operational Oversight: Ensure timely submission of completed manifests, manage weekly inventory counts, and support with payroll and account updates as needed. 
  • CRM & Task Management: Maintain customer records and tasks using tools such as High Level, ClickUp, and Asana, ensuring accurate data entry and smooth operations.
