This role is critical to ensuring that opportunities are properly tracked, proposals are delivered on time, and internal processes remain structured, organized, and efficient.
As a Proposal and Corporate Operations Assistant, you will lead and manage all proposal and qualification submissions for the company.
Your primary focus will be proposal coordination and submission management, while also supporting marketing initiatives and internal HR/operations processes.
You will work directly with technical teams and leadership to ensure submissions are compliant, organized, and delivered at a high professional standard.
Lead preparation and coordination of RFQs, RFPs, RFSQs, and prequalification submissions
Maintain and manage the opportunity and pursuit pipeline
Develop proposal schedules and coordinate inputs from technical teams
Compile, format, and finalize technical and commercial submissions
Maintain staff resumes, project experience records, and proposal content library
Ensure compliance with client requirements and submission instructions
Coordinate internal reviews and approvals prior to submission
Manage final packaging and electronic submissions
Track proposal outcomes and maintain win/loss records
Continuously improve proposal templates and internal processes
Maintain capability statements and company profiles
Prepare project highlight sheets and presentation materials
Support website and marketing content updates
Maintain client and contact databases
Coordinate industry events and marketing initiatives
Coordinate recruitment postings and interview scheduling
Support onboarding documentation and staff integration
Maintain organizational charts and employee records
Track performance review and training schedules
Experience coordinating proposals within engineering, consulting, or construction environments
Advanced English (B2+ or above), both written and spoken
Strong organizational and document management skills
High attention to detail and ability to manage strict deadlines
Advanced Microsoft Office skills, especially Word and Excel
Ability to manage multiple concurrent submissions
Strong written communication skills
Ability to work independently in a deadline-driven environment
Location: Remote (Colombia-based candidates only)
Schedule: 7:30 a.m. – 4:30 p.m.
