This is a remote position.

Administrative Specialist

Join a growing grant management firm that plays a vital role in helping nonprofits secure and maintain funding through detailed documentation and strict compliance standards. This role is central to keeping high-volume grant records accurate, organized, and submission-ready. What You'll Do:

  • Organize, categorize, and maintain over 400 grant-related documents across multiple clients.
  • Review and verify documents to ensure proper classification, such as distinguishing IRS correspondence from EIN confirmations.
  • File and manage digital records within structured systems with complete accuracy.
  • Complete and submit grant-related forms with close attention to detail.
  • Create and format invoices accurately after training.
  • Draft short internal updates and notes in Trello using clear, professional English.
  • Prepare client-facing letters and documentation that read naturally and professionally.
  • Track task progress independently and manage daily workflow without constant oversight.
  • Ensure all documentation details are 100% accurate before submission.
