Roles & Responsibilities

  • Proven experience as a Virtual Assistant or in an administrative support role
  • Strong organisational and time-management skills
  • Excellent written and verbal communication skills
  • Working knowledge of Xero is essential

Requirements:

  • Calendar Management: manage and maintain calendars, including scheduling meetings, appointments, and reminders; proactively resolve scheduling conflicts
  • Email Inbox Management: monitor and manage the inbox, prioritising and responding to emails; draft and send professional correspondence on behalf of the client; organise emails into folders and maintain inbox efficiency
  • Invoicing & Payments: prepare and issue monthly invoices; track payments and follow up on outstanding invoices; maintain accurate financial records and reports
  • General Administrative Support: book flights and accommodation (including Airbnbs) and other travel arrangements as needed; assist with ad-hoc tasks; maintain organised digital files and documentation

Job description

This is a remote position.


We are seeking a reliable and detail-oriented Virtual Financial & Admin Assistant to provide administrative and operational support to a busy professional in a growing business. The ideal candidate is highly organised, proactive, and comfortable managing multiple tasks with minimal supervision. This is a remote role that requires approximately one hour's work per day.

Responsibilities:

Calendar Management

  • Manage and maintain calendars, including scheduling meetings, appointments, and reminders
  • Proactively resolve scheduling conflicts

Email Inbox Management

  • Monitor and manage the inbox, prioritising and responding to emails
  • Draft and send professional correspondence on behalf of the client
  • Organise emails into folders and maintain inbox efficiency

Invoicing & Payments

  • Prepare and issue monthly invoices
  • Track payments and follow up on outstanding invoices when required
  • Maintain accurate financial records and reports

General Administrative Support

  • Book flights, accommodation (including Airbnbs), and other travel arrangements as needed
  • Assist with general administrative tasks and ad-hoc requests
  • Maintain organised digital files and documentation
