  • Coordinate projects and maintain confidentiality: assist in planning events and projects; track deadlines and provide reminders; handle sensitive information with discretion.

JOB SUMMARY:

We're seeking a polished, proactive Executive Assistant to support the Director and team in running operations efficiently. This role demands exceptional organisational skills, strong communication abilities, and a talent for maintaining confidentiality. You will ensure seamless coordination across administrative and client-centric tasks, contributing to company's mission of trust, precision, and excellent service.

 

KEY RESPONSIBILITIES:

  1. Administrative Support:

  • Manage calendars, coordinate meetings, and schedule appointments for the executive(s).

  • Prepare, edit, and format documents, presentations, and reports as needed.

  • Handle incoming and outgoing correspondence, ensuring timely responses and prioritising urgent matters.

         2.     Communication Management:

  • Act as a point of contact between executives, clients, team members, and external stakeholders.

  • Draft, proofread, and send communications on behalf of the executive(s) as required.

  • Organise and manage internal and external communications to ensure alignment and clarity.

         3.      Travel & Expense Management:

  • Arrange complex travel itineraries, including flights, accommodations, and transportation.

  • Prepare travel documentation and ensure all logistics are in place for seamless trips.

  • Manage expense reports, reimbursements, and budgets related to executive activities.

         4.      Project Coordination:

  • Assist in planning and executing company events, meetings, and projects.

  • Track deadlines, follow up on project progress, and provide reminders and updates to the executive(s).

  • Conduct research, compile data, and prepare materials to support decision-making.

         5.      Confidentiality & Discretion:

  • Handle sensitive information with the utmost confidentiality and professionalism.

  • Uphold privacy standards in all aspects of communication and documentation.




Requirements

SKILLS & QUALIFICATIONS:

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.

  • Excellent written and verbal communication skills.

  • Strong organisational and multitasking abilities.

  • High attention to detail and a proactive approach to problem-solving.

  • Ability to work independently and collaboratively within a fast-paced environment

  • Minimum of [3-5] years in an Executive Assistant or similar administrative role, ideally supporting senior executives.

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.
