Job description

This is a remote position.

What You’ll Be Doing

We are seeking a Proposal Coordinator to manage the end-to-end RFP process, from identifying and evaluating opportunities to developing and submitting winning proposals. In this role, you will:

  •  Manage the full RFP lifecycle, including analysis, bid/no-bid decisions, response development, and final submission.
  •  Work on U.S.-based RFPs, including federal, state, local, education (SLED), and public corporation bids.
  •  Source RFP opportunities using tools like BidPrime, SAM.gov, and other RFP databases to identify potential bids that align with company goals.
  •  Ensure impeccable formatting, alignment, and consistency in all proposals to maintain a highly professional, polished appearance.
  •  Spot and correct errors in font usage, spacing, alignment, and overall layout to ensure proposals meet the highest standards.
  •  Leverage AI tools to streamline proposal decision framework for bid/no-bid decisions, writing, optimize content, and improve efficiency.
  •  Become an expert in Gyrus’s LMS products and services to craft compelling, accurate proposals.
  •  Attend pre-proposal conferences to gather insights and determine strategic positioning.
  •  Oversee multiple RFP projects, ensuring deadlines are met and responses align with company objectives.
  •  Collaborate across teams (Sales, Marketing, Legal) to create well-structured, professional responses.
  •  Ensure all proposals are properly formatted, compliant, and effectively packaged for submission.

Who You Are

  •  Experienced. You have 3+ years of experience in proposal writing, bid management, or a related role, with knowledge of RFP lifecycle management.
  •  U.S. RFP Expert. You have experience responding to federal, SLED, and public corporation RFPs and understand compliance and procurement requirements.
  •  Highly Detail-Oriented. You have a keen eye for formatting, structure, and presentation, ensuring every document is visually polished and professionally aligned.
  •  Fluent in English. You have strong spoken and written English skills to ensure high-quality, professional communication.
  •  AI-Savvy. You are comfortable using AI-powered writing and automation tools to enhance efficiency in proposal development.
  •  Strong Communicator. You can craft persuasive, clear, and concise proposals that resonate with potential clients.
  •  Tech-Proficient. Experience with proposal software, AI-driven content tools, Microsoft Office Suite, CRM systems, and RFP sourcing platforms like BidPrime and SAM.gov is a plus.
  •  Organized & Deadline-Driven. You excel at managing multiple complex RFPs simultaneously, ensuring all submission requirements are met on time.
  •  Educated. You hold a bachelor’s or master’s degree in Business, Communications, or a related field.
