Requirements:

  • Serve as the sole administrator for Yardi Voyager, YardiOne, P2P, Elevate, and VendorCafe; configure, monitor, and maintain all modules, user roles, workflows, and approval hierarchies; oversee user access, permissions, and security protocols; coordinate with Yardi support and IT for troubleshooting and feature implementations.
  • Manage end-to-end project and property setup, including creation of properties, entities, and contacts; establish bank accounts and accounting trees; ensure data consistency and alignment with corporate structure and compliance across modules.
  • Oversee vendor onboarding and P2P processes, including VendorCafe onboarding, profile maintenance, and compliance; assist Accounts Payable with check runs, ACH payments, and Positive Pay; resolve invoice workflow issues to ensure timely payments.
  • Provide user support, training, and documentation—first-line troubleshooting, developing SOPs/training guides, and periodic training to promote best practices; identify opportunities to automate workflows and drive efficiency.

Job description

Overview:

The Yardi Systems Administrator serves as the primary point of contact and sole administrator for all Yardi platforms, including YardiOne, Yardi Voyager, Procure to Pay (P2P), Elevate, and VendorCafe. This position is responsible for the configuration, functionality, security, and data integrity of each system to ensure seamless operation across accounting, property management, and operations. The role also oversees project initiation, user management, check processing, vendor onboarding, and invoice workflow automation to ensure accuracy, compliance, and efficiency from procurement through payment.

 

As the sole system administrator, this position carries ownership of Yardi system performance, integration, and optimization. The System Administrator should be a proactive and detail-oriented professional who can work independently, troubleshoot complex issues, and collaborate across departments to improve efficiency and streamline digital workflows.

Responsibilities:

System Administration & Maintenance

  • Serve as the sole administrator for Yardi Voyager, YardiOne, P2P, Elevate, and VendorCafe environments.
  • Configure, monitor, and maintain all modules, user roles, workflows, and approval hierarchies.
  • Oversee user access, permissions, and security protocols across all Yardi platforms.
  • Coordinate with Yardi support and IT for troubleshooting, enhancement requests, and new feature implementations.

 

Project Initiation & Property Setup

  • Manage the end-to-end setup process for new projects and entities, including creation of properties, ownership structures, entities, and contacts within Yardi.
  • Establish bank account setup within Yardi, accounting trees, and related workflows to ensure proper financial routing and reporting.
  • Collaborate with accounting, asset management, and operations teams to ensure new project configurations align with corporate structure and compliance standards.
  • Maintain data consistency and audit accuracy across multiple modules when onboarding new projects.

 

Procure to Pay (P2P) & Check Processing

  • Manage vendor onboarding, profile maintenance, and compliance documentation through VendorCafe.
  • Oversee and assist Accounts Payable with check runs, ACH payments, and Positive Pay with strict adherence to internal controls.
  • Identify and resolve invoice workflow issues or discrepancies to maintain timely payment cycles.
  • Collaborate closely with the accounting team to ensure payables align with financial reporting standards.

 

User Support, Training & Documentation

  • Provide first-line support for all Yardi users, troubleshooting issues across modules and platforms.
  • Develop and maintain training guides, SOPs, and quick-reference materials for new and existing users.
  • Conduct periodic training sessions to enhance user proficiency and enforce best practices.

 

Process Improvement & Strategic Oversight

  • Identify opportunities to automate workflows and enhance efficiency across departments.
  • Partner with leadership to develop system solutions that support company growth and evolving business needs.
  • Ensure compliance with company policies, audit requirements, and data security standards.
  • Serve as liaison between internal stakeholders and Yardi support for escalated system needs.
Qualifications:

Compensation & Benefits

  • Salary: $85,000 - $90,000 annually
