Job Summary:

We are seeking a highly experienced Property Management Specialist with a deep understanding of U.S. property management practices. This individual must be capable of managing complex tasks from start to finish, coordinating with multiple stakeholders, and maintaining exceptional attention to detail. The ideal candidate will have experience as a personal or executive secretary, possess strong leadership and communication skills, and be proactive in solving problems under pressure.

Key Responsibilities:

  • Manage end-to-end processes, including reviewing contracts, coordinating with attorneys, vendors, tenants, filing, and tenant communication.
  • Oversee lease administration, including preparation, review, renewals, rent collections, and handling lease violations.
  • Coordinate and monitor property maintenance requests, schedule vendors, follow up on repairs, and ensure timely resolution.
  • Delegate and oversee tasks across on-site staff, ensuring proper execution and adherence to SOPs.
  • Maintain strong tenant relations, providing professional communication, addressing concerns, and managing move-in/move-out processes.
  • Build and manage vendor relationships, coordinate payments, negotiate rates, and ensure service quality.
  • Prepare, compile, and present regular financial and operational reports for leadership.
  • Maintain organized records of contracts, leases, permits, correspondence, and financial documents.
  • Ensure compliance with legal, safety, and insurance requirements.
  • Coordinate inspections, appointments, and project timelines to meet critical deadlines.
  • Act as a back-end coordinator for property operations, ensuring smooth workflows across multiple locations.
  • Handle tenant disputes, payment delays, and legal issues with professionalism and discretion.
  • Perform other tasks related to the position.

Qualifications & Requirements:

  • Strong English communication skills (written and spoken).
  • Strong communication skills with the ability to engage effectively with cross-functional teams, internal leaders, providers, and potential clients.
  • Personable, friendly, and professional, with customer service.
  • Excellent attention to details, organizational and time management skills, with the ability to meet deadlines and manage multiple priorities.
  • Experience with property management tools and CRMs is a plus.
  • Proven experience in property management, ideally with U.S.- based properties.
  • Strong background as a personal or executive secretary is highly preferred.
  • Proactive and resourceful thinker with strong leadership capabilities.
  • Able to work independently and under pressure.
  • Strong interpersonal skills to manage relationships with various stakeholders (tenants, vendors, property staff, and coordinating property maintenance).
  • Strong understanding of property management billing (e.g., rent, maintenance, late fees).
  • Professional phone etiquette and customer service mindset.
  • Proficiency in Microsoft Office (Word, Microsoft Excel) and Google Workspace (Docs, Sheets).
  • Sound judgment and the capacity to comprehend and execute instructions promptly with minimal supervision.
  • Reliable computer (Windows 10 or newer), two monitors, and stable high-speed internet.
