Job description

Profile Summary:

The Operations Virtual Assistant provides essential administrative and operational support across all departments, helping to streamline processes, maintain accurate records, and ensure smooth internal operations. This role is ideal for an organized, proactive individual who thrives in a fast-paced, dynamic environment and is comfortable navigating ambiguity. The VA will assist with project management, compliance, documentation, and cross-departmental coordination to support the growth and efficiency of the organization.

Job Details:

  • Work from home
  • Monday to Friday, 10 am to 7pm Brisbane Time | 8:00 AM to 5:00 PM Manila Time
  • Following Philippine Holidays

Responsibilities:

  • Draft and distribute land access notices as required
  • Maintain and update CRM records to ensure accurate client and project information
  • Prepare and organize internal documentation, reports, and compliance files
  • Manage project trackers and monitor progress across departments
  • Coordinate internal reporting and provide timely updates to relevant teams
  • Support sales and engineering teams with administrative tasks, including scheduling, data entry, and follow-ups
  • Assist in developing and improving internal processes to enhance operational efficiency

Qualifications:

  • Experience in a telecommunications environment is a plus
  • Highly organized, proactive, and self-motivated
  • Comfortable working in a dynamic, fast-moving environment with minimal supervision
  • Strong attention to detail and ability to manage multiple tasks simultaneously
  • Excellent communication and coordination skills
  • Familiarity with CRM systems and project management tools is a plus
