NetSuite Supply Chain Administrator

Roles & Responsibilities

  • 3 to 5+ years of experience in supply chain, inventory, or operations roles within CPG, beauty, or consumer goods

Requirements:

  • Oversee day-to-day NetSuite supply chain execution across purchasing, production, inventory, and logistics, including issuing purchase orders, recording bills, maintaining BOMs, and reconciling builds to reflect accurate inventory and costs
  • Own and maintain the NetSuite Item Master across raw materials, packaging components, WIP, and finished goods; manage new item creation and ensure data completeness (units, costing, lead times, vendor associations) aligned with production and costing requirements
  • Manage inventory movements and material flow, including receipts, counts, adjustments, scrap, and co-manufacturer shipments; ensure accurate inventory in NetSuite and support month-end reconciliations
  • Provide governance and controls as the supply chain accuracy owner in NetSuite; resolve discrepancies, support month-end close and audits, and maintain audit-ready documentation; track vendor lead times and assist with light forecasting

The Role

The NetSuite Supply Chain Administrator is responsible for managing day-to-day supply chain execution within NetSuite. This role sits at the center of purchasing, production, inventory, and logistics, ensuring that all transactions, builds, and movements are accurately reflected in the system.

This is a highly detail-oriented, hands-on role that requires strong NetSuite experience, a working understanding of CPG manufacturing, and the ability to manage multiple workstreams with precision. Success in this role means clean data, accurate costing, timely production, and clear inventory visibility.

Key Responsibilities

NetSuite Purchasing & Production

  • Issue purchase orders in NetSuite for packaging components, raw materials, and formula or fill services.
  • Record and reconcile corresponding purchase order bills accurately within NetSuite.
  • Maintain and oversee Bills of Materials (BOMs) for all SKUs, ensuring accuracy for production execution and product costing.
  • Execute and reconcile finished goods and sub-assembly builds to reflect accurate inventory balances and costs.

Item Master & System Governance

  • Own and maintain the NetSuite Item Master, ensuring all items are accurately set up and consistently structured across raw materials, packaging components, work-in-process, and finished goods.
  • Create and manage new items in NetSuite, including SKUs, packaging components, formulas, and finished goods.
  • Ensure item records are complete and accurate, including units of measure, costing methods, lead times, vendor associations, and inventory attributes.
  • Partner cross-functionally with Supply Chain, Finance, and Operations to ensure item setup aligns with production, costing, and reporting requirements.
  • Maintain data integrity across item changes, revisions, and lifecycle updates.

Inventory & Materials Flow

  • Project manage and track inventory movements across the supply chain, including:
    • Packaging shipments to co-manufacturers
    • Finished goods shipments from co-manufacturers to warehouses
  • Ensure all inventory receipts are properly and accurately received into NetSuite.
  • Manage inventory counts, adjustments, and scrap rates to support accurate inventory reporting.
  • Support end-of-month inventory reconciliations and variance resolution.

Vendor Lead Times & Planning Support

  • Maintain and track vendor lead times, minimum order quantities, and production constraints within NetSuite or supporting tools.
  • Flag risks related to lead times, capacity, or material availability that may impact production schedules or inventory levels.
  • Support light inventory forecasting based on sales demand and inventory on hand.

Logistics & Freight

  • Coordinate and arrange freight from co-manufacturers to warehouses.
  • Ensure proper documentation, timing, and accurate receipt of goods into inventory.
  • Partner with logistics and warehouse teams to resolve discrepancies, damages, or delays.

System Accuracy, Controls & Close Support

  • Serve as the point person for supply chain accuracy within NetSuite, ensuring transactions follow established processes and controls.
  • Identify, investigate, and resolve discrepancies related to inventory, costing, or production data.
  • Support Finance during month-end close, inventory reviews, and audit requests as needed.
  • Maintain organized, audit-ready documentation across all supply chain transactions.

Qualifications

  • 3 to 5+ years of experience in supply chain, inventory, or operations roles within CPG, beauty, or consumer goods.
  • Strong hands-on experience using NetSuite for purchasing, inventory management, and production.
  • Working knowledge of BOMs, assembly builds, and inventory costing.
  • Experience coordinating with co-manufacturers, packaging vendors, and warehouses.
  • High attention to detail with strong reconciliation and organizational skills.
  • Ability to manage multiple timelines and priorities in a fast-moving environment.
  • Clear, proactive communicator comfortable working cross-functionally.
