Roles & Responsibilities

  • Strong SAP skillset with working knowledge of SAP tables and data extraction, Central Component, Advanced Planning, and alert monitors.
  • Proficient in the Microsoft Office suite (Excel, Word, PowerPoint, Outlook).
  • 4+ years of customer service experience; ability to work in a team and collaborate with cross-functional/global partners.
  • Excellent written and verbal communication skills in English, with ability to present information clearly and manage multiple tasks with deadlines.

Requirements:

  • Enter critical Field Service parts orders into SAP, verify data accuracy (inventory, shipment details, priority) and notify Field Service Team of status changes.
  • Monitor back orders and alerts to ensure fastest possible fulfillment; coordinate with planning, buyers and manufacturing leaders to raise shortages and expedite fulfillment.
  • Maintain communication with engineers, customer care, and operations to provide order/shipment status; optimize shipment timing to maximize revenue; provide inventory cost and part availability data on request.
  • Maintain metrics on call/item/order volumes, backorders, zero-stock items; prepare documentation for non-SAP shipments; support Salvage/Loaner processes and assist with material master forms.

Job Description

The GOM Operations Analyst is the primary point of contact for the American field sales and service teams with regards to parts that are shipped from our global facilities. Duties include a multitude of independent and diversified tasks to support the Field Sales and Service Team. These tasks include, but are not limited to, online order taking, parts expediting, backlog/alert management and inventory reconciliation.

Hybrid working model, Krakow, Quattro Business Park (3days office)

Main Responsibilities

  • Enters critical Field Service parts orders into SAP. During order entry determines accuracy of information, inventory/FSL availability, shipment information and order priority. Notifies Field Service Team of status including non-shipments and changes in processes.

  • All back orders and alerts are monitored to ensure the quickest possible fulfilment. To complete this task, it is necessary to have a full understanding of SAP, Lotus Notes and the other ERP systems and Operations/Transportation personnel across the manufacturing sites.

  • Stay in close cooperation with planning to follow up on material availability. Raise shortages/fulfillment needs to planning teams/buyers/manufacturing leaders to ensure quickest possible fulfillment

  • Continual communication with engineers, customer care and OTR regarding order/shipment status.

  • Optimize timing of shipments to maximize revenue, considering payment terms, revenue recognition rules to react to end of period revenue requirements

  • Supplies the field with inventory cost, customer sell price and part availability data on request.

  • Enters purchase requisitions for non-drawing-released parts for purchasing to utilize in the creation of purchase orders.

  • Notifies Database Administration Team (Customer Master Maintenance) of field engineer inventory location and ship to address additions as required.

  • Creates forms to be used by Service and Database Administration Teams in creation of material master for parts required by Field.

  • Transact parts to Field Service Engineer cost centers and investigates discrepancies concerning Field Service Inventory locations.

  • Prepare documentation for non-SAP shipments to Field Service Team.

  • Maintain statistics on call/item/order volumes, backorders, zero stocks items, search calls & finds, expedites and cancelled items.

  • Provides status information to engineers concerning items returned from field engineer to American Consolidation Point upon request.

  • Create requisitions and access refurbished and/or loaner pool inventory regarding service requirements for items identified as candidates for the Salvage and Loaner processes.

Skills and Experience:

  • Strong SAP skillset experience: working knowledge of SAP tables and data extraction methodology, Central Component, Advanced Planning, and alert monitors preferred 

  • Proficient in the Microsoft Office suite of products, including Excel, Word, PowerPoint, and Outlook

  • 4+ year’s customer service experience preferred.

  • Ability to communicate and present information effectively verbally and in writing and collaborate with peers, colleagues, and leaders, including cross-functional, global partners

  • Effective knowledge of SAP STRs and STOs (Stock Transfer Request/Order) for supply/demand execution

  • Detail-oriented with the ability to work on multiple tasks and projects and prioritize tasks with strict deadlines

  • Demonstrated data analytics abilities

  • Strong language skills, professional English language knowledge

  • Ability to work in a team environment
