Roles & Responsibilities

  • Proficiency with scheduling and communication tools (e.g., MS Outlook, MS Teams, Zoom, Calendly, Slack)

Requirements:

  • Coordinate scheduling among clients, candidates, and recruiters and manage interview logistics (onsite or virtual) with hiring managers
  • Create and send calendar invites and set up virtual meeting rooms on Zoom, MS Teams, or Google Meet; share links with all participants
  • Keep candidates informed of interview schedules, provide attendance reminders, and update clients on rescheduled or canceled interviews; facilitate smooth candidate hand-offs
  • Maintain knowledge of the client's business and recruitment process; document and relay client feedback to recruiters; conduct paper screening when needed

Job description

The Recruitment Coordinator upholds high candidate and client experience by ensuring smooth and seamless first interactions between clients and suitable candidates. They are tasked to properly schedule and hand off candidates to clients for interviews. This role plays a critical part in the recruitment process of KMC to maintain world-class recruitment standards.

  • Coordinate clients, candidates, and recruiters regarding schedule availability.
  • Schedule multiple candidates for either onsite or virtual interviews with hiring managers.
  • Send out calendar invites to clients, candidates, and recruiters in line with the agreed schedules.
  • Set up virtual meeting rooms in platforms such as, but not limited to, Zoom, MS Teams, and Google Meet and share meeting links to the participants via calendar invite.   
  • Ensure that candidates are well informed of their interview schedule and are given attendance reminders beforehand.
  • Provide updates to clients regarding rescheduled and/or canceled interview appointments.
  • Build rapport with hiring managers to ensure that candidate hand-offs for client interviews are done seamlessly.
  • Properly introduce candidates to client interviewers and vice versa, at the onset of the interview.
  • Have a good understanding of the client’s nature of business and their hiring requirements.
  • Be updated and knowledgeable on the client’s recruitment process.
  • Accurately taking note of client feedback and relaying the same to the recruiters, if applicable.
  • Able to conduct paper screening of candidates based on the client requirement during down times.
  • Graduated with a bachelor’s degree
  • Work experience as either a Scheduling Coordinator, Recruitment Coordinator, or any similar role
  • Experience in and knowledge in recruitment is an advantage
  • Adept with using MS Outlook, MS Teams, Zoom, Slack, Skype, or other similar communication platforms.
  • Adept in using MS Calendar, Calendly, or other similar scheduling platforms.
  • Amenable to work on a night shift schedule.
  • Able to work from home but is willing to report on site as necessary.

 

  • At least above average written and verbal English communication skills.
  • Good comprehension and critical thinking skills.
  • Excellent multi-tasking and time management skills.
  • Willing to learn new skills and further their ability as part of their career growth.
