About the Role

As a Guest Communications & Reservations Specialist, you will play a vital role in supporting a leading Melbourne-based short-stay accommodation business with over 100 apartments under management. This role focuses on ensuring exceptional guest experiences through efficient communication, reservation management, and operational coordination.


We’re looking for proactive, detail-oriented individuals who take ownership of their work and can maintain performance consistency despite challenges and can uphold high standards of service and accountability. Reliability, professionalism, and strong judgment are key to succeeding in this role.


Key Responsibilities

Guest Communication

  • Respond promptly and professionally to guest inquiries via email, phone, and booking platforms (Airbnb, Booking.com, etc.).
  • Use saved replies and automated messaging tools to ensure consistent and accurate communication.
  • Handle guest requests and issues related to check-ins, check-outs, and reservations, ensuring a smooth guest experience.

Reservation Management

  • Update and maintain accurate booking information across multiple platforms.
  • Monitor and process cancellations, modifications, and failed payments.
  • Ensure timely and accurate communication of reservation details to guests.


Operational Coordination

  • Liaise with housekeeping and operations teams to ensure apartments are ready for guest arrivals.
  • Update internal systems with special requests and guest information.
  • Assist with other administrative or operational tasks during non-communication shifts.


Other Responsibilities

  • Make necessary process suggestions and improvements which can help the team.
  • Contributes to team effort by accomplishing related results as needed.
  • Perform other related tasks and duties that may be assigned by the client later on.


About You

  • Education: Bachelor’s degree or equivalent qualification.
  • Experience: Background in customer service, preferably in hospitality, short-stay accommodation, or property management.
  • Technical Proficiency: Confident in using tools like Excel, Word, Gmail, OneDrive, and WhatsApp. Experience with Guesty, Airbnb, or Booking.com platforms is highly regarded.
  • Communication: Excellent written and verbal English communication skills.
  • Professionalism: Reliable, accountable, and able to manage your time and workload independently.
  • Problem-Solving: Able to identify issues quickly, think critically, and propose practical solutions.
  • Adaptability: Comfortable working with new systems, procedures, and team members.
