Job description

As an Executive Assistant to the Managing Director, you will provide highlevel administrative support and assistance to ensure the smooth functioning of the office and enable the Managing Director to focus on strategic priorities. You will be responsible for managing complex calendars, coordinating meetings and travel arrangements, preparing reports and presentations, and handling confidential information. This role requires exceptional organizational skills, attention to detail, and the ability to handle multiple tasks with discretion and professionalism.
Responsibilities:
  1. Proactively manage the Managing Directors calendar, including scheduling appointments, coordinating meetings, and prioritizing conflicting demands.
  2. Arrange and coordinate domestic and international travel, accommodation, and transportation logistics for the Managing Director and visiting guests.
  3. Prepare and edit correspondence, reports, presentations, and other documents as required by the Managing Director.
  4. Maintain confidential files and records, ensuring information is organized, easily accessible, and handled with discretion.
  5. Conduct research, gather data, and compile information for special projects or presentations.
  6. Act as a liaison between the Managing Director and internalexternal stakeholders, filtering and prioritizing communications and requests.
  7. Attend meetings, take minutes, and follow up on action items to ensure timely completion.
  8. Prepare and distribute agendas, materials, and presentations for meetings, ensuring all necessary resources are available.
  9. Collaborate with other executive assistants and team members to coordinate activities and support companywide initiatives.
  10. Handle sensitive and confidential information with professionalism, integrity, and confidentiality.
    1. Requirements:
      1. Bachelors degree in Business Administration, Communications, or a related field.
      2. Proven experience as an executive assistant or in a similar role supporting senior executives.
      3. Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fastpaced environment.
      4. Strong attention to detail and exceptional written and verbal communication skills.
      5. Proficiency in using productivity software and tools such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms.
      6. Discretion and confidentiality when handling sensitive information and dealing with confidential matters.
      7. Strong interpersonal skills and the ability to build positive relationships with stakeholders at all levels.
      8. Proactive and resourceful problemsolving skills, with the ability to anticipate needs and find practical solutions.
      9. Flexibility and adaptability to changing priorities and requirements.
      10. Professional demeanor, with the ability to represent the Managing Director and the organization effectively.
