What we want 

The Senior Administrative Coordinator I coordinates administrative support to the Executive Director for Rural Medicine and the Rural Medical Education Director. This role is essential to the efficient operation of leadership activities related to rural health initiatives, rural medical education, community engagement, and academic partnerships

Salary: Will be commensurate based on the selected hire’s education and experience.

Travel: This role may require occasional travel to rural clinical sites and event locations across the state.

Schedule: Remote or hybrid work arrangements may be considered in alignment with program needs and university policy. This position may require work beyond normal office hours and/or work on weekends.

Qualifications

Required Education and Experience

  • Bachelor’s degree in applicable field or equivalent combination of education and experience

  • Six years of related experience in office administration.

Preferred Qualifications

  • Experience supporting executive-level leadership in an academic setting.

  • Strong communication skills and experience with event coordination, especially across geographically dispersed teams.

  • Proficiency in Microsoft Office Suite, Zoom, Teams, and travel/conference management systems.

  • Previous TAMU experience.

  • Experience with project support/coordination

Knowledge, Skills, and Abilities

  • Knowledge of word processing, spreadsheet, and presentation applications.

  • Ability to organize work effectively and prioritize objectives with a high level of discretion and independent judgment and initiative.

  • Ability to multitask and work cooperatively with others.

  • Excellent Planning and organization skills.

Responsibilities

Administrative Coordination

  • Manages complex calendars and schedules for both directors, coordinating internal and external meetings, rural site visits, stakeholder engagements, and university-related functions.

  • Prioritizes meeting requests and ensures preparation materials are compiled in advance.

  • Tracks and follows up on action items, ensuring timely completion of administrative and operational deliverables.

  • Drafts, edits, and manages high-level correspondence including reports, presentation materials, and formal communication with rural partners, students, and faculty.

  • Handles sensitive and confidential information with discretion.

  • Evaluates documents submitted for administrator’s signature.

  • Prepares agendas, takes minutes, and distributes materials for executive meetings and committee sessions.

  • Serves as backup for the property officer and assists with inventory certification.

  • May supervise staff or direct volunteers.

Program and Event Coordination

  • Provides logistical and administrative support for Rural Medicine Program events such as community roundtables, rural recruitment events, clinical site orientations, and student engagement activities.

  • Assists in planning and executing seminars, symposiums, and grant-related functions.

  • Offers on-site and virtual support during events, ensuring smooth execution and communication.

  • Coordinates travel arrangements for rural outreach, conferences, and clinical education site visits across Texas and other rural regions.

  • Develops itineraries and ensures travel aligns with program goals and budget compliance.

  • Processes travel reimbursements and serves as a point of contact for logistical coordination.

  • Provides additional support as needed to meet program needs.

Records Administration and Compliance

  • Assists in compiling reports for accreditation, program development, and institutional updates.

  • Maintains organized records of meetings, student placement tracking, partner contacts, and project timelines.

  • Interprets and communicates institutional policies, rural program procedures, and compliance

  • requirements.

  • Coordinates office records retention and maintains office resources
