UNDERSTANDING THE ROLE
We are seeking a self-motivated, reliable, and detail-oriented Operations Assistant to provide direct support to the CCS Systems & Change Management Practice Lead and SVP, Strategy & Operations.
The Operations Assistant will be responsible for calendar management, meeting preparation, travel planning and expense reporting as well as team-centered activities including logistical coordination and support, document preparation, and report generation. 
 
The ideal candidate is highly resourceful, professional, and capable of managing their workload and prioritizing tasks in a fast-paced, deadline-oriented corporate environment. This is a full-time role and an excellent opportunity to build a career in a mission-driven, growing company.
 
RESPONSIBILITIES 
  • Manage complex executive calendars, schedule meetings, and gather all necessary meeting materials
  • Coordinate executive communications, including taking calls, responding to emails, and interfacing with internal and external personnel
  • Make travel and hotel reservations
  • Manage contact information and ensure timely follow-up to correspondence
  • Prepare timely expense reports and ensure compliance with all company-wide data entry policies
  • Support the Systems & Change Management team calendar including team events and select project scheduling and logistics
  • Support client project onboarding when applicable
  • Coordinate and update materials, data tracking and reports for internal use
  • Assist with review and proofreading of internal and external materials and reports
  • Develop and sustain a level of professionalism consistent with the firm’s mission and values
QUALIFICATIONS 
  • High attention to detail
  • Strong time management, organizational, and problem-solving skills
  • Ability to balance tasks and deadlines efficiently
  • Outstanding written and verbal communications skills
  • Proficient in Microsoft Office, with the ability to become familiar with firm-wide specific programs
  • Technologically savvy and adept at learning new programs
  • Basic graphic design and/or data visualization experience a plus
  • Friendly and professional demeanor
  • Bachelor’s degree
  • 1-3 years of related work experience

HOURLY RATE: $31.25
The exact rate varies based on years of relevant experience and education.
