Description

The Office Administrator will play a key role in ensuring smooth daily operations at Fervo’s Houston office and supporting workplace needs across all Fervo locations. This individual will be the first point of contact for building management, visitors, and vendors, while also coordinating internal services such as mail, kitchen supplies, onboarding logistics, and meeting support. The role requires a proactive, customer-service-minded professional who can manage multiple responsibilities with attention to detail and a strong sense of ownership. This position will report to the Executive Assistant III.

Responsibilities


Office & Facilities Support 

  • Serve as liaison to building management for maintenance requests, overtime HVAC, parking notices, and other facilities needs 
  • Validate visitor parking  
  • Receive and distribute mail, packages, and deliveries daily; coordinate outgoing shipments 
  • Maintain and update workstation signage for new hires and desk moves 
  • Keep compliance monitors and bulletin boards current with labor law postings and company memos 
  • Maintain current fire warden lists and share with building management as needed 

Onboarding & Workplace Experience 

  • Order business cards for new hires and employee title changes upon request 
  • Coordinate access cards and parking setup for new employees 
  • Coordinate with IT and the CEO’s Executive Assistant to ensure new employee desks are fully set up and ready on their first day 
  • Manage pantry, kitchen, and office supply inventory across all Fervo offices, ensuring timely restocking of Houston supplies as needed 
  • Oversee contracts and service coordination for Houston office equipment—including kitchen appliances (coffee, Bevi, ice machine), copiers, plotters, and Shred-It accounts—in collaboration with the Supply Chain team 

Calendar & Events Coordination 

  • Manage daily calendars for conference rooms and Office For a Day (OFAD) spaces—small visitor offices with a reservation system—to ensure smooth scheduling and availability 
  • Prepare meeting rooms with AV setup and food & beverage as requested; reset rooms post-meeting 
  • Order Wednesday lunches company-wide (Houston, SLC, Golden, Reno, Oakland)  
  • Plan and coordinate monthly birthday celebrations for the Houston office 

Special Projects & Support 

  • Coordinate office moves by securing mover quotes, getting building approval, and managing vendor COIs 
  • Provide occasional backup support to other Executive Assistants and office staff 

Required Qualifications

  • 0–2 years of professional experience, preferably in customer service, hospitality, or retail 
  • Demonstrated ability to communicate effectively and deliver a high standard of customer service 
  • Strong organizational and time-management skills 
  • Proactive approach to problem solving and willingness to take initiative 
  • Tech-savvy; comfortable working with tools such as Google Workspace (Gmail, Calendar, Sheets) 
  • Able to manage multiple priorities with attention to detail in a fast-paced office environment 
  • Comfortable lifting up to 25 lbs. and supporting light physical tasks during office moves or stocking

Preferred Qualifications

  • Previous exposure to facilities, workplace operations, or office coordination 
  • Experience working with cross-functional teams (e.g., Admin, IT, HR) 
  • Familiarity with vendor coordination, service contracts, or budget tracking 
  • Interest in building a long-term career in office management or operations 
  • Strong interpersonal skills and a team-oriented mindset 

Location

Fervo Energy is headquartered in Houston, TX with growing offices in Oakland, CA, Golden, CO, Reno, NV, and Salt Lake City, UT. This position is based out of Houston, TX. Given the nature of this position, regular in-office presence will be required, with occasional work from home opportunities at they arise.
