Work Set-up: WFH
Schedule: 6:30am – 3:00pm PHT
Salary: Php40,000-Php45,000

As an Administrator, You will play a crucial role in ensuring the smooth operation of office functions, managing administrative tasks, and supporting various departments including finance, procurement, and human resources. Your responsibilities will encompass coordinating office procedures, handling financial transactions, maintaining records, and ensuring compliance with company policies. This position demands a high level of organization, attention to detail, and the ability to work collaboratively in a fast-paced environment.


JOB DESCRIPTION AS AN ADMINISTRATOR

Your Responsibilities as as Administrator will be:

General Administration:
• Manage scheduling, meetings, and appointments for executives and staff.
• Maintain and update records, databases, and filing systems.
• Prepare reports, documents, and presentations as needed.
• Ensure compliance with company policies, regulations, and legal requirements.
Invoicing & Financial Administration:
• Process, track, and manage invoices, ensuring timely payments and accurate record-keeping.
• Reconcile invoices with purchase orders and contracts to ensure accuracy.
• Maintain financial records and assist with expense tracking and basic bookkeeping.
• Coordinate with finance and accounting teams to support budget management.
Procurement & Vendor Management:
• Manage office and support production procurement, including sourcing, purchasing, and inventory control.
• Negotiate contracts with suppliers to ensure cost-effective and quality procurement.
• Collaborate with production and construction teams to ensure their procurement requirements are met.



• Monitor vendor performance and maintain strong relationships with suppliers.
• Ensure all purchases comply with company policies and budget guidelines.
Human Resources & Office Support:
• Support HR functions such as onboarding, employee record management, and timesheet processing.
• Assist with the recruitment process by coordinating interviews and documentation.


Qualifications as an Administrator:

• Atleast 2-3years Proven experience in an administrative role with invoicing and procurement responsibilities.
• Experience working with Australian business/es in the similar industry (construction, design or manufacturing) is highly desired
• Experience with document control system such as Autodesk Construction Cloud is a plus
• Strong organizational, problem-solving, and multitasking skills.
• Excellent written and verbal communication abilities.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and accounting software.
• Ability to work independently and collaboratively in a fast-paced environment.
• Strong attention to detail and numerical accuracy.
