IMPORTANT: OPERATIONS MANAGEMENT EXPERIENCE IS HIGHLY PREFERRED.


An amazing opportunity to work with a fast-growing AI consultancy known for streamlined processes, premium service, and commercial discipline.

Our client provides Industrial IoT solutions that provide customers with real-time insights into their assets and processes.

Reporting to the Director of AI Execution, you will be responsible for overseeing daily operations, enhancing internal processes, and automation. You will also oversee managing financial workflows.

You will be a qualified Operations Manager with a minimum of 5+years in operations or finance management within tech, SaaS, or consulting.

Key Responsibilities

Delivery Operations

  • Maintain live project dashboards and update milestones/risks weekly
  • Provide fortnightly resource utilization reports
  • Lead delivery standups and status reporting
  • Track scope changes and ensure commercial impact is captured

Financial Operations

  • Handle AR/AP in Xero: invoicing, payment tracking, and follow-ups
  • Reconcile bank feeds and expenses weekly
  • Prepare monthly financial reports (AR, cash flow, gross margin)
  • Coordinate payroll with external provider

People & Culture / Onboarding

  • Manage onboarding for staff, contractors, and interns
  • Maintain onboarding materials and compliance tracking
  • Support offshore recruitment and running quarterly engagement surveys

Process & Quality

  • Maintain and improve SOPs in Notion
  • Promote AI tools and automation (ChatGPT, Zapier)
  • Lead internal audits and enforce data/process quality

Vendor & Tool Management

  • Manage SaaS vendor relationships and budgets
  • Identify and implement new tools to boost efficiency

Requirements

  • Hands-on experience with Xero and Airwallex (invoicing, bank reconciliation, AR/AP, payroll) 
  • Proven ability to operate autonomously—thrives on minimal direction and proactive problem-solving 
  • Strong background in project management support (dashboards, utilisation reporting) 
  • Solid grasp of financial administration (margin, cashflow, invoicing, FX) 
  • Comfortable with project tools, CRMs, and receipt capture apps  
  • Excellent written & verbal English; able to craft clear client-facing communication
  • Process-driven mindset with a knack for turning chaos into documented SOPs 
  • High digital dexterity—regularly experiments with AI assistants and automation platforms 
  • Proactive and can work independently
  • Self-starter and self-learner 
  • Driven and motivated to make a difference and improve every day 
  • Attention to detail, in particular in writing, process approach, and bringing efficiency to every aspect of what you do

Work Environment & Expectations

 

While this is a work-from-home position, it is important to note that this is a full-time role—not a freelance or flexible-hour arrangement. You will be expected to work a fixed shift and maintain a high level of professionalism and accountability, just as you would in an office environment.

 

This role requires:

• Discipline and commitment to set working hours (strict shift times, not flexible)

• Use of time-tracking software during work hours

• Active participation in team and client calls with your camera ON

• Consistent availability and responsiveness throughout your shift

• Treating this as a long-term, full-time job—not a side gig or freelance task

 Payroll is processed bi-monthly.

Benefits

1. Monthly Salary: PHP 70,000

2. Salary will be paid on a bi-monthly basis on the 15th and 30th or 31st of each month

3. You will be paid extra for overtime and Philippines public holidays

4. Probation: 6 months and after Probation

  •       10 days annual leave credits
  •       5 days of sick leave

5. HMO offered after 6-months probation

6. 13th Month Pay after 30 days

7. Laptop provided after 30 days

8. Permanent work-from-home role. You will have to use your own internet.

9. Annual salary review

10. SHIFT TIMES: 6:30 AM to 3:30 PM Philippine time, Monday to Friday




Salary: PHP 70,000
