Length of Contract: ≈8 Months
Reports to: Mgr., Accounts Payable
Location: Remote *Must be driving distance to Watertown, MA for Training & occasional meetings.

Role Overview:

This temporary AP specialist will be responsible for managing and processing a company's financial transactions related to expenses (invoice processing–vendor management), ensuring timely payments, and maintaining strong vendor relationships. The ideal candidate is detail-oriented, reliable, and experienced with high-volume AP processing in a fast-paced environment. They will play a key role in supporting the accounting team during a period of increased activity and transition. While the role is primarily remote, the employee will be expected to travel to our Watertown, MA office for initial training and occasional in-person meetings as needed. This is a temporary contract role. The individual will be engaged as an independent contractor for a limited term of approximately 8–10 months. This is not a staff or full time employee position with REEF Lifestyle LLC.

Key Responsibilities:

  • Invoice Processing:
    • Verify, process, and record invoices to ensure alignment with purchase orders and receipts
    • Prevent duplicate or unauthorized payments through careful review
    • Access vendor portals to retrieve invoices as needed
    • Process various invoice types, including:
      • Purchase order invoices
      • Non-purchase order invoices (e.g., freight, utilities, rent)
    • Vendor Relations:
      • Maintain up-to-date vendor master files, including contact and payment information
      • Create new vendor profiles after verifying details and securing approvals
      • Distribute onboarding documentation to new vendors
      • Review and update vendor changes with proper approvals
      • Respond to vendor inquiries in a timely, professional manner
    • General Support:
      • Assist the Accounts Payable Manager with a range of tasks, including month-end closing activities
      • Help ensure smooth operation of daily AP functions

Skills Required:

  • Attention to Detail: Critical for ensuring accuracy in transactions and records
  • Organizational Skills: Ability to manage multiple invoices and timelines effectively
  • Communication Skills: Comfortable working with vendors and cross-functional teams to resolve issues
  • Technical Proficiency: Familiarity with accounting systems and tools for efficient processing and reporting

Experience Required:

  • Minimum of 2+ of Accounts Payable experience
  • SAP experience preferred
  • Proficient in Excel
