The role
We’re on the lookout for a Resource & Planning Coordinator who’s sharp, reliable, and ready to keep the cogs of our clinical operations turning smoothly. Reporting to the Resource Planning Team Lead, you’ll play a key part in making sure the right clinicians are in the right place at the right time, so our patients always get the care they need, when they need it. This role is perfect for someone who loves bringing structure to chaos, thrives on spotting patterns in data, and takes pride in being the person people count on. Youll be:
  • Coordinating daily workforce and shift planning to ensure fair and efficient allocation of clinician shifts, aligning staffing levels with patient demand and adapting to realtime changes.
  • Collaborating with stakeholders to confirm onboarding and training schedules for new clinicians, integrating these into forward resource planning.
  • Serving as the primary point of contact for clinician queries about scheduling and availability.
  • Utilising workforce planning tools to support daily operations and actively identify opportunities for process improvements.
  • Managing patient appointment slot scheduling and related administrative tasks, such as sending cancellation emails, to streamline team operations.
  • Overseeing contractor and overtime invoicing by ensuring timesheet accuracy and timely submissions.
  • Working with senior team members and clinical leaders to align short and longterm resourcing plans to support service goals.
  • Providing operational support for urgent resourcing issues in the absence of the Team Lead, including triage and escalation as necessary.

  • We’re looking for someone who has:
  • Experience in workforce planning, resource coordination, andor operations support.
  • Confidence interpreting realtime service metrics and adjusting plans accordingly.
  • A highly structured and organised approach, with strength in dataled decisionmaking.
  • Familiarity with customer service metrics and experience supporting performance improvements through accurate resourcing.
  • Proficiency with workforce planning or scheduling tools (e.g. Deputy), and customer support platforms (e.g. Zendesk, Intercom).
  • Strong communication skills and the ability to collaborate effectively across crossfunctional teams.
  • A calm, adaptable mindset and a problemsolving approach; especially when priorities shift quickly.

  • It’s a bonus if you have:
  • Experience in a fastgrowing or scaling business.
  • Background in a regulated industry or MedTech.
  • Knowledge of demand forecasting or advanced workforce planning methodologies.
