Job description

The expected salary range for this position is $78,220.00 - $91,894.40. Employees in specific high cost of labor locations in the United States (such as San Francisco, CA and Seattle, WA) may qualify for a geographic differential. Overview

Compassion International is seeking a highly organized, detail-oriented, forward-thinking, and proactive career-level business support specialist who will support Compassion’s multi-year comprehensive donor fundraising campaign. This specialist will further provide key logistical and planning support for conferences, meetings, events, and other special activities across our Global Philanthropic Engagement team. This specialist will provide skilled work and support in various areas, including operations, campaign and event tracking, analysis, process and project management, data research, change communication, information management, and other administrative duties. At this career level, the incumbent generally conducts work independently or participates as a team member for major, complex, or international projects and processes. He or she may coach and oversee the work of other specialists

What will you do?

  • Maintains a personal relationship with Jesus Christ. Is a consistent witness for Jesus Christ, maintains a courteous, Christ-like attitude in dealing with people within and outside of Compassion, and faithfully upholds Compassion’s ministry in prayer.

  • Acts as an advocate to raise the awareness of the needs of children. Understands Christ’s mandate to protect children. Commits to and prioritizes child protection considerations in all decision-making, tasks and activities across the ministry. Abides by all behavioral expectations in Compassion’s Statement of Commitment to Child Protection and Code of Conduct. Reports any concerns of abuse, neglect or exploitation of children through Compassion’s internal reporting process and appropriately supports responses to incidents if they occur.

  • Uphold and engage in Compassion’s core Cultural Behaviors

  • Provides business support to donor campaign fundraising initiative, including but not limited to special projects, ongoing communication updates, Salesforce CRM, research and analysis, campaign planning support, and data entry. Further, may assist with donor stewardship, workstream projects, and campaign-related resource materials.

  • Provides administrative support to leaders, including, but not limited to, proofing/editing, expense management, calendar management, and travel planning. Further, prepares team meeting agendas and coordinates guest speakers as needed. Facilitates presentation and slide transitions during meetings, records and summarizes meeting notes, and follows up on future action items as needed.

  • Maintains ongoing project lists, digital filing systems, and deliverables. Ensures accuracy in campaign talking points and FAQ documentation. 

  • Provides logistical support planning for on-site meetings & events, and special activities, including but not limited to agenda prep, reserving space, catering, travel planning, invitations, presentation building, printing of materials, purchasing, budget tracking, coordinating tech/av needs, and on-site set-up.

  • Provides business support with invitation list management, including, but not limited to, sorting donor details, compiling invite lists, communicating timelines and next steps, and finalizing lists for the Cvent upload process.  

  • Data and System coordination; Support Cvent-to-Salesforce data flow; maintain donor records, bios, and event summaries. Format seating charts, donor lists, and track preferences and follow-ups.

  • Maintain events calendar and intake process; prepare materials for leadership and donor meetings. Coordinate with internal teams to ensure accurate, timely event data.

  • Execute invoice requests and provide support for vendor contracts as needed.

  • Gathers business data such as project costs or process metrics, analyzes the information, prepares forecasts, and generates and presents reports based on this analysis. Serves as a project manager for medium-sized projects with moderate scope and complexity.

  • Prepares and relays communication concerning business operations and outcomes to appropriate audiences to foster understanding and acceptance for initiatives, policies, and practices. Further, contributes to change integration across projects within the team. Works to identify change saturation among target audiences as needed.

  • Trains and advises key stakeholders on processes, guidelines, and opportunities related to the group or campaign projects, events, and strategies. May liaise and coordinate between assigned team and other key neighbors across the ministry.

  • Develops consistent and effective metrics for the application of data in the ministry and develops strategy-related data/metrics definition, analysis, dashboards, tools, and artifacts to provide up-to-date status of key initiatives.

  • Proactive in partnering with other groups’ professionals when required to integrate information and processes across functions. Serves as a skilled contributor to various projects as assigned in support of the work of Business Support management.

  • The incumbent may coach and provide expertise to other professionals and support staff.

What do you bring?

  • Bachelor's Degree in a related field or equivalent education, experience, training, and/or certification

  • 7+ years of experience in this or a related field

  • Demonstrated strong proficiency in Microsoft Office applications

  • Experience managing multiple complex calendars/schedules, travel arrangements and expenses

  • Technical fluency; ability to learn new systems quickly

  • Excellent interpersonal and communication skills; ability to build strong alliances, effectively influence, and negotiate 

  • Proactive approach and independent work style; ability to navigate ambiguity to solve problems and execute complex tasks with minimal oversight 

  • Heart for providing incredible support to our leaders and teams 

  • Salesforce, Cvent, or other CRM software experience is a plus

  • Event logistics and tactical support experience preferred

  • Ability to travel up to 15% of normal schedule.
