Title: Events & Media Coordinator (Contractor Full Time)

Location: U.S. Remote with occasional travel, Texas preferred.

Position Overview

The Events & Media Coordinator will play a vital role in supporting the managing and streamlining daytoday schedules, media appearances, and public event logistics. This person must be highly organized, detailoriented, solutionfocused, and adaptable. The ideal candidate will act as a central hub of communication between the executive and internalexternal partners—ensuring that every touchpoint delivers excellence and every guest interaction feels like a VIP experience.

Key Responsibilities
Calendar & Communication Management
  • Confirm and manage the executive’s daily calendar, ensuring they are fully prepared and aligned with all commitments

  • Monitor and assist with email inboxes and Voxer communication, flagging urgent items and organizing messages efficiently

  • Manage scheduling and rescheduling of internal meetings, podcast interviews, and public appearances

  • Ensure all presentation materials are finalized, accurate, submitted on time, and aligned with marketing deliverables and offers

  • Serve as a communication liaison between the executive and departments including PR, Marketing, Affiliate, Events, and Program Teams

  • Consistently go above and beyond to ensure every guest, collaborator, and contact feels seen, appreciated, and prioritized

    • Event Logistics & Coordination
      • Assist in planning and executing logistics for both live and virtual events, including venue coordination, menus, materials, and onsite setup

      • Ensure the executive is equipped with presentation essentials (e.g., easel, nontoxic markers, paper, etc.) for all speaking engagements

      • Coordinate with media and production teams for live filming, class recordings, and interviews

      • Be available to support nights and weekends during live events or travel

      • Provide additional assistance to the event team while onsite at events

        • Internal Alignment & Support
          • Work closely with internal leaders across departments to ensure smooth execution of campaigns, events, and media opportunities

          • Assist in locking in event dates and managing the executive’s availability across company initiatives and partnerships

            • Gifting & Special Touches
              • Manage personalized gifting and thankyou gestures from the executive to guests, team members, and collaborators (e.g., maintaining a 1800Flowers account)

              • Help uphold and elevate the brand through intentional, thoughtful touches that reflect excellence and appreciation

                • Ideal Candidate Qualities
                  • Exceptionally organized, proactive, and able to anticipate needs

                  • A warm, polished communicator who builds trust and connection easily

                  • Comfortable in highpaced, dynamic environments with competing priorities

                  • Discreet, trustworthy, and professional in handling confidential information

                  • Proficient in Google Workspace, Monday.com, scheduling platforms, and communication tools such as Voxer

                    • Preferred (Not Required)
                      • Previous experience supporting a highprofile executive, author, or thought leader

                      • Background or strong interest in the health, wellness, or functional medicine space
                        • Budgeted Pay: $6065,000 annual salary
