About the Position

We are seeking a highly organized and proactive Administrative/Executive Assistant to join our team. This full-time role focuses on ensuring excellent operational execution across administrative, training, and technology functions, as judged by our members.

What You’ll Do:

    • Operational Management: Efficiently manage scheduling, travel, appointments, and maintain directories and collaboration platforms (e.g., Slack, Office 365).
    • Meeting Coordination: Arrange, attend, and manage meetings, including tracking attendance, scribing, conducting polls, and managing breakout rooms.
    • Information Management: Design and maintain central shared files.
    • Training & Onboarding: Onboard new members and provide individualized support to help them confidently access materials, resources, and technology.
    • Project Leadership: Lead and complete initiatives independently or with a team.
    • Brand & Aesthetics: Ensure materials adhere to brand guidelines, reflecting a commitment to quality and good taste.
    • Coordination & Research: Assign and monitor work to specialized administrators, interface with vendors, and research resources, processes, technology solutions, and individuals.
    • Visibility & Connections: Enhance brand visibility and foster strong personal connections with members, serving as a go-to person for assistance.
    • Technology & Proactivity: Leverage the latest productivity tools, including AI, and anticipate needs, proposing and implementing operational improvements.
    • Culture & Standards: Uphold a supportive and helpful culture, embodying core values of Trust, Excellence, Smart, and Outcomes-oriented.

Requirements

    • Exceptional customer service skills with a cheerful and empathetic approach.
    • Proficiency in video conferencing tools (setup, scribing, polling, recording management).
    • Comfortable working with standard platforms like Microsoft 365 and Slack.
    • Excellent spoken and written English.
    • Strong typing skills for real-time meeting scribing.
    • Collaborative, imaginative, and well-intentioned, contributing to the greater good. Also independent, organized, and capable of follow-through without reminders.
    • Committed to continuous learning and professional development.
    • Willingness and ability to attend one in-person gathering per year in the US. Ideal candidate must have American Visa.
    • Maintain a professional image, with no visible tattoos or piercings.
