Job description

This is a remote position.

Part Time:
20 Hours per week
9AM to 1PM EST
Monday to Friday

Job Overview:
We are seeking a highly organized and experienced Event Production Specialist to join our team on a parttime basis. This role requires a proactive individual with a deep understanding of event planning and logistics, strong communication skills, and a working knowledge of American venues, cities, and vendors. You’ll play a key role in supporting and coordinating multiple aspects of the event production process — from vendor sourcing to timeline and budget management.

Key Responsibilities:
Create and manage event timelines, production schedules, and task lists.

Maintain detailed event spreadsheets to track budgets, vendors, logistics, and deadlines.

Source and coordinate with vendors and venues, ensuring quality, availability, and costefficiency.

Conduct venue research and comparisons based on event type, city, capacity, and budget.

Manage logistics including transportation, equipment, and staffing needs.

Collaborate with the team to develop detailed event briefs and runofshow documents.

Monitor and update event budgets, track expenses, and flag issues proactively.

Utilize your knowledge of American cities and event spaces to make informed recommendations.

Communicate professionally and clearly with vendors, venues, and stakeholders.

Support postevent wrapup and reporting tasks.

Requirements
Requirements:
  • Minimum 3 years of experience in event production, logistics, or event planning.

  • Proven ability to manage multiple moving parts in a fastpaced environment.

  • Excellent written and verbal communication skills with strong command of English grammar.

  • Proficiency in eventrelated softwaretools (Google Workspace, Excel, Asana, Trello, or similar).

  • Strong knowledge of event terminology, formats, and planning cycles.

  • Demonstrated ability to source vendors and venues within the U.S.

  • Familiarity with American cities, event markets, and venue options.

  • Exceptional organizational skills and attention to detail.

  • Ability to work independently and meet deadlines with minimal supervision.


    • Preferred Qualifications:
      • Experience with virtual and hybrid event platforms.

      • Previous work with U.S.based event companies or clients.

      • Graphic design or proposal formatting skills (not required but a plus).
