Job Summary:
We are seeking a dedicated Virtual Assistant (VA) to support a primary care office based in Florida. The VA will act as a medical assistant/receptionist, managing phone communications, confirming and linking appointments, and performing receptionist duties. This role requires knowledge of U.S. healthcare practices, experience in telehealth settings, and excellent communication skills to ensure outstanding patient support.
✅ Answer incoming phone calls promptly and professionally
✅ Confirm, reschedule, and link patient appointments
✅ Perform general receptionist duties, including patient outreach and follow-up
✅ Provide virtual medical assistant support to the office team
✅ Conduct outreach to patients for appointment reminders, scheduling, and other needs
✅ Maintain accurate records of patient communications and appointment updates
✅ Ensure HIPAA-compliant handling of patient information at all times
✅ Assist with other administrative tasks as assigned by the medical team
✔ Proven experience as a medical receptionist, medical assistant, or virtual assistant for U.S.-based health clinics
✔ Prior experience working with telehealth platforms and virtual care settings
✔ Knowledge of primary care office operations, preferably with exposure to Florida healthcare practices
✔ Excellent verbal and written communication skills
✔ Strong organizational skills with attention to detail
✔ Ability to multitask in a fast-paced environment
✔ Tech-savvy with familiarity in EHR/EMR systems, teleconferencing tools (Zoom, Teams), and scheduling software
✔ Understanding of HIPAA regulations and commitment to patient confidentiality
✔ Reliable high-speed internet connection and a professional home office setup
