You’ll take ownership of the expense management workflow, ensuring that busy investment professionals can focus on their core responsibilities while you handle the critical administrative foundation that keeps the business running smoothly. Responsibilities
  • Take full ownership of processing and compiling expense reports for investment professionals and staff members
  • Expertly categorize expense receipts within the company’s accounting system to ensure accurate financial tracking
  • Proactively review employee calendars to identify potential missing expenses such as flights, meals, and conference-related costs
  • Conduct thorough cross-referencing between calendar activities and submitted receipts to ensure complete expense capture
  • Communicate professionally with partners and employees via email and Zoom to gather missing documentation and clarify expense details
  • Organize and systematically categorize all expenses for seamless handoff to the accounting team
  • Manage the end-to-end submission process for completed expense reports through appropriate company channels
  • Maintain proactive communication about missing or incomplete expense items to ensure timely resolution


Requirements
  • Minimum 3+ years of administrative assistant experience with demonstrated success in detail-oriented roles
  • Exceptional organizational skills and meticulous attention to detail - accuracy is critical in this role
  • Proven ability to work independently with minimal supervision while maintaining high standards
  • Strong proficiency in expense management processes and accounting categorization systems
  • Outstanding written and verbal communication skills for professional interactions with senior-level staff
  • Comfortable and proficient using email platforms, Zoom video conferencing, and calendar management tools
  • Demonstrated ability to exercise sound judgment when identifying missing or incomplete expense items
  • Flexible schedule availability with capability to overlap during Pacific Time morning hours for key communications
