Job description

We are seeking a proactive and adaptable Operations Associate to join our growing team. This is an ideal opportunity for someone who thrives in fast-paced, startup environments and is passionate about building processes from the ground up. You’ll play a key role in supporting day-to-day operations across multiple business functions including communications, outreach, digital engagement, data management, and financial processes.

Responsibilities
  • 1. Communication & Inbox Management (20%)
    • Manage multiple organizational email accounts and coordinate executive communications
    • Organize inboxes using labels, categories, and archiving systems
    • Respond to program inquiries and follow up on sponsor communications
  • 2. Social Media & Digital Engagement (25%)
    • Execute daily content strategy across LinkedIn, Instagram, and X (Twitter)
    • Post updates, engage with community content, and monitor analytics
    • Promote events and share community highlights internally
  • 3. Outreach & Lead Generation (20%)
    • Conduct targeted outreach via LinkedIn using provided templates
    • Manage program application pipelines and follow up with sponsors
    • Update CRM with new or missing contact information
  • 4. CRM & Data Management (20%)
    • Maintain clean and updated CRM systems for sponsor and prospect data
    • Track outreach progress and engagement histories
    • Ensure data accuracy across various tracking systems
  • 5. Financial & Administrative Operations (15%)
    • Monitor banking activity related to program and sponsor payments
    • Handle contracts, invoices, and generate payment reports
    • Maintain digital organization through cloud-based filing systems

Requirements

  • Experience: 2–3 years in operations, administration, or a similar role
  • Skills:
    • Proficiency with CRM platforms and AI tools
    • Strong command of Google Workspace
    • Familiarity with managing social media platforms
    • Basic understanding of financial and payment tracking tools
  • Mindset: Self-starter with a solutions-driven approach, attention to detail, and eagerness to learn new tools and systems
