What We'll Bring:

The Administrative Support for the HRC department will partner closely with the Strategy and Planning Team to coordinate and support global HRC meetings, calendar and projects. You will develop a meaningful partnership with HRCLT and play an important role assisting with multiple projects, collaborating with HRC Centers of Excellence (COEs). You will utilize your creative problem solving skills, effective decision-making, and project planning/management abilities to maintain realistic balance among multiple priorities.

What You'll Bring:

Responsibilities:

  • Support HRC meetings inclusive of invitations, meeting venues and action item follow up when necessary.
  • Support strategy and planning team with maintaining inventory of agenda items for HRCLT meetings and following through to ensure topics are covered when appropriate throughout the calendar year.
  • Support planning and scheduling business review meetings for COEs throughout calendar year, coordinating collaboration across COEs.
  • Prepare, coordinate and schedule meetings for senior level management and others within the organization; this includes logistics for off-site conferences, customer/partner events, Town Halls, internal associate celebratory/appreciation events, and other tasks as needed.
  • Support internal and external communications.      Must be skilled with Powerpoint for generating first drafts of decks for HRC communications or be able to edit materials created by others based on HRCLT feedback.
  • Maintain calendar, confidential files and systems.
  • Establish and maintain central repository for sharing information and templates.
  • Support collaboration forums with information and refreshing membership/access as needed.
  • Arrange logistics for appointments and meetings; prepare agendas.
  • Coordinate travel arrangements for executive and other individuals.
  • Maintain HR budget, participate in forecast meetings and support the accrual process.

The ideal candidate for this role must be versatile, multi-functional and have the ability to coordinate a wide range of projects.  You must possess strong organizational, documentation, and communication skills with experience developing and managing milestone schedules/timelines.  This role provides access to confidential and highly sensitive information, requiring a candidate who acts with the utmost integrity and ability to maintain a high level of confidentiality.  In addition, the candidate must possess:

  • Bachelor’s degree preferred
  • 3-5 years’ experience working in related business function with direct HR experience desirable
  • Must have an extensive working knowledge of the entire Microsoft® Suite programs (Word, PowerPoint, Excel, Teams, SharePoint)
  • Strong analytical, organizational, planning, communications and project management skills.
  • Ability to work independently and with highly confidential topics.
  • Experience with budget management
  • Able to consider tradeoffs and risks to ensure projects move forward.
  • Must employ sound judgment in escalating and clear communication to keep stakeholders appropriately informed.
  • Role located in Costa Rica and may require travel up to 10% of time.
  • Ability to work across multiple time zones and cultures.
  • Advanced English skills

 

This is a remote position which may require occasional in-person attendance at work-related events at the discretion of management.
