We are looking for a highly organized and proactive Executive Assistant to support our Ceo and Vp of client success in managing daily operations, strategic initiatives, and administrative tasks. The ideal candidate thrives in a fast-paced environment, has experience in the media or tech industry, and can anticipate the needs of a busy executive.

    • Manage and optimize the CEO’s calendar, including scheduling meetings, calls, and travel arrangements. 

    • Act as the primary point of contact between the CEO and internal/external stakeholders. 

    • Prepare reports, presentations, and documents for executive meetings. 

    • Assist with email and correspondence management, prioritizing key communications. 

    • Oversee special projects, including research, data analysis, and strategic planning support. 

    • Coordinate logistics for company events, webinars, and industry conferences. 

    • Take meeting notes, track action items, and ensure follow-ups are completed. 

    • Maintain confidentiality and handle sensitive information discretion. 

    • Assist in managing key partnerships, client relationships, and investor communications and following up. 

    • Support personal tasks that contribute to the CEO’s efficiency and productivity. 

    • Be able to manage contracts.

  • Experience: 3+ years as an Executive Assistant, preferably in a startup, media, or tech industry. 
  • Tech-Savvy: Proficiency in Microsoft softare such as teams and outlook, project management tools (e.g., Asana, Notion, or Trello), and video conferencing platforms. 
  • Communication: Excellent written and verbal communication skills. 
  • Detail-Oriented: Strong organizational skills with the ability to prioritize and multitask. 
  • Problem-Solver: Proactive, resourceful, and capable of handling complex challenges. 
  • Industry Knowledge (Preferred): Familiarity with video production, content creation, or SaaS is a plus. 
  • Adaptability: Ability to thrive in a fast-paced, evolving environment.
  • Availability: Flexibility to accommodate time-sensitive tasks, occasional after-hours availability.
  • Knowledge of Hubspot CRM.
