Job description

Work Arrangement: Fully Remote, Must Work PST or Overlapping Hours

Job Type: Full-Time

Work Schedule: 40 Hours/Week, Monday to Friday, 9:00 AM – 6:00 PM PST

Location: Remote (Preferably able to work in Pacific Time)

About the Client

The team is based in San Francisco and is building intelligent systems to take the stress out of on-call engineering. Role

We’re looking for a proactive, systems-driven Executive Assistant to support both the CEO and Chief of Staff. This isn’t a “calendar-only” role. You’ll be responsible for absorbing low-leverage tasks, improving operational workflows, and acting as a second brain to the executive team. You’ll need to bring order to ambiguity, anticipate needs, and solve problems before they arise.

This role is high-impact, high-trust, and ideal for someone who wants to grow with the company over the long term.

Key Responsibilities

Executive & Calendar Support

  • Own calendars for CEO and Chief of Staff
  • Prioritize meetings and manage scheduling with precision
  • Triage inboxes, follow up with stakeholders, and keep communication clean and streamlined

Operations & Project Management

  • Lead internal coordination across ops, product, and HR
  • Own delegated projects across legal ops, onboarding, and finance
  • Create trackers, SOPs, and process documentation
  • Flag blockers and help unblock threads across internal priorities

Logistics & Admin

  • Book travel and handle end-to-end logistics
  • Manage office relocation support, vendor coordination, and lunch/supply orders
  • Aggregate daily priorities into digestible summaries and dashboards

Requirements

Must-Haves

  • 4–5+ years supporting executives in fast-paced startups
  • Strong English skills (polished, neutral accent preferred)
  • High EQ and impeccable attention to detail
  • Experience with Slack, Google Workspace, Zoom, Notion
  • PST-compatible working hours
  • Autonomous, responsive, and systems-focused

Nice-to-Haves

  • Experience supporting both CEO and Chief of Staff
  • Familiarity with legal ops, RFPs, or contract workflows
  • A background in ops, legal, business, or admin systems
  • Eye for aesthetics and formatting polish
