Job description

We are looking for a proactive and detail-oriented Admin and Finance Support who can support billing operations, maintain accurate financial documentation, and assist with general administrative tasks. The ideal candidate should have strong experience with QuickBooks, Spanish and English communication skills, and experience supporting U.S.-based clients.

Responsibilities:

  • Maintain and update internal trackers, state-level documents, SOPs, and financial files.
  • Handle billing tasks such as invoice creation, payment tracking, and QuickBooks reconciliation.
  • Review and organize client-submitted documentation, service logs, and spreadsheets.
  • Support administrative operations such as onboarding, compliance updates, appointment scheduling, and SOP development.
  • Assist in formatting reports, preparing audit-ready documentation, and organizing client files in cloud-based systems.
  • Communicate with clients and team members in both Spanish and English to resolve billing, documentation, or administrative concerns.
  • Troubleshoot discrepancies using logic and escalate issues when needed.
  • Ensure confidentiality, accuracy, and security across all platforms, including QuickBooks, Excel, EHR/EMR, and state portals.
  • Demonstrate accountability through clear progress tracking, communication, and time management.

Requirements

Qualifications:

    • At least 2 years of experience in administrative, billing, or financial support roles (experience with U.S. clients required).
    • Proficient with QuickBooks (Online or Desktop).
    • Comfortable communicating in Spanish and English.
    • Strong working knowledge of Microsoft Excel.
    • Experience with SOP creation, document formatting, and process documentation.
    • Experience with EHR/EMR systems, state document handling, or client portals
    • Strong attention to detail, problem-solving ability, and organizational skills.
    • Comfortable working independently in a remote setup and managing multiple task types.
    • Professional, discreet, and reliable when handling sensitive or regulated information.
