Job description

This is a remote position.

Incisive Consultants is a rapidly growing Electronic Health Record consulting firm dedicated to supporting healthcare organizations with exceptional consulting services. Founded by former Accenture leaders, Incisive operates nationally and has consistently achieved record growth. We are now seeking an experienced, execution-oriented Operations Manager to manage operational processes and scale the team as our company grows.

The Operations Manager will own core internal functions across employee engagement, finance operations, compliance, vendor management, human resources, IT & Systems, Marketing, and operational budget. You’ll execute cross-functional initiatives, streamline recurring processes, and reduce dependency on executive leadership for day-to-day operations. This is a critical management hire for a lean, high-performing team.
You will report directly to the VP of Strategic Execution and work closely with our Ops Analyst (focused on onboarding and employee engagement) to ensure everything behind the scenes runs efficiently and evolves as we grow.

Key Responsibilities

Management & Operations

  • Own execution and continuous improvement of all core business operations
  • Translate leadership priorities into actionable projects with clear outcomes and timelines
  • Ensure operations can support scale, efficiency, and accountability
  • Maintain internal reporting dashboards, reconcile data across systems, and synthesize inputs for executive decisions
  • Manage and develop the Operations Analyst; provide coaching, structure, and feedback
  • Maintain strong vendor and 1099 contractor relationships; negotiate terms and ensure service quality

Finance

  • Accounts Receivable: Oversee Timesheets, expenses, invoice generation, payment resolution, and AR turnover tracking
  • Accounts Payable: Manage vendor payments, negotiate terms, and pursue cost-saving opportunities
  • Payroll: Administer bi-weekly payroll for consultants and contractors, ensuring benefit deductions and compliance accuracy
  • Monthly Reporting: Prepare and deliver accurate financial reports for leadership review

Employee Experience & Human Resources

  • Oversee onboarding and offboarding processes in partnership with the Ops Analyst, ensuring all KPIs are met
  • Monitor employee sentiment and engagement; identify opportunities to improve retention and satisfaction
  • Oversee benefits administration and serve as a point of escalation for HR issues
  • Organize employee events that embodies the Incisive culture and creates engagement with remote employees
  • Partner with leadership on organizational planning, policies, and role transitions

Compliance

IT & Systems

  • Oversee administration of internal tools (ClickUp, Zoho, Slack, etc.) and ensure systems are optimized for cross-team use
  • Act as primary liaison for external tech support and system improvements
  • Identify and implement automation opportunities across recurring workflows
  • Maintain and track laptop inventory to ensure accurate hardware records and availability
  • Oversee basic system security practices and coordinate with vendors to ensure data and access protections are in place

Marketing Operations

  • Support execution of foundational marketing efforts including LinkedIn posts, PR announcements, award applications, and internal promotion of wins
  • Drive completion of case studies, ensuring they are collected, written, and published in coordination with internal teams
  • Ensure the website stays updated with accurate service descriptions, team profiles, and new initiatives
  • Collaborate with leadership and external partners on brand strategy

Requirements

Required: 

  • 3+ years of experience running or building operations
  • 7+ years of experience in operations, business management, or program/project leadership
  • Proven ability to lead cross-functional initiatives independently, from planning through execution
  • Highly detail-oriented with strong analytical and problem-solving skills
  • Technology-forward mindset with a passion for adopting and optimizing new tools and workflows
  • Excellent communicator with strong prioritization and decision-making abilities
  • Comfortable creating structure, driving accountability, and operating with urgency in a fast-paced environment

Preferred: 

  • Background in consulting, healthcare, or a tech-enabled services company.
  • Experience onboarding or managing vendor relationships and compliance workflows.
  • Experience supporting or implementing internal performance tracking or goal accountability frameworks.
  • Familiarity with financial operations (invoicing, cost optimization, reporting)
