A detail-oriented, self-managed Marketing & Operations Executive Assistant is needed to support the back-end operations of a consulting and community-driven business. This role is all about making chaos invisible—keeping communications organized, systems running smoothly, and content and community consistently supported.

You’ll be working directly with the founder. If you enjoy the satisfaction of checking things off a list, bringing order to messy processes, and using templates to simplify workflows, you’ll fit right in.

Key Responsibilities

    Daily Communications & Admin Flow

    • Monitor and organize Slack, Gmail, and Notion during EST business hours
    • Route and track updates using my existing Notion templates and systems
    • Draft replies for email, Slack, and Notion comments (client will review and send/post)
    • Create a daily summary of key messages, decisions, and deadlines

    Content & Community Management

    • Post daily in the client's Mighty Networks community (Systematic AF Club) using prompts and ideas
    • Respond to Club DMs on the client's behalf
    • Draft outlines for new Club tutorials based on a shared idea bank
    • Create slide decks and video copy for tutorials, client records
    • Publish and announce tutorials in the community

    Content Repurposing & Marketing Support

    • Repurpose content into social media posts using templates
    • Schedule and post using the client's tools and workflows
    • Assist with client's weekly email newsletter (drafting, formatting, scheduling)
    • Help the client brainstorm and prep for new offers and launches

    Light Video & Asset Management

    • Light editing of recorded calls (just trimming start/end)
    • Upload Office Hours replays (2x/month) with video, transcript, summary, and resources
QUALIFICATIONS:
  • Experience in digital marketing or social media support
  • Strong administrative skills and attention to detail
  • Ability to work independently and manage time effectively
  • Excellent written communication skills
  • Familiarity with tools like Notion, Slack, and Canva is a plus
  • Must be available to work during U.S. Eastern Time hours

  • Notion (Dr. Monica will provide training/templates)
  • Airtable and Zapier (training provided)
