Location:                                   Remote w/up to 20% travel

Job Summary

 

The Fleet Administrator will administer the management, maintenance, and optimization of our fleet operations, ensuring efficiency and compliance while contributing to our mission of sustainability and operational excellence. This position focuses on providing excellent customer service to drivers, ensuring compliance with internal policies, and maintaining data integrity related to vehicle management. The role involves various administrative tasks, including vehicle registrations, insurance management, and compliance with DOT regulations, all aimed at supporting the company's operational efficiency and safety standards

  • Provide administrative support for fleet-related projects and initiatives
  • Assist in the development, implementation and enforcement of fleet management policies and procedures in alignment with industry standards and regulatory requirements.
  • Analyze GPS data and fleet performance metrics to identify trends such as route efficiency and vehicle utilization, optimize usage, and implement cost-saving measures.
  • Provide regular reports on fleet performance and any anomalies detected via the GPS system
  • Monitor fuel consumption and expenses, identifying opportunities for efficiency improvements and sustainability initiatives.
  • Manage the fleet database, ensuring accurate records of all vehicles, maintenance schedules, and compliance documentation.
  • Coordinate routine maintenance and repairs for fleet vehicles, liaising with vendors and service providers to ensure minimal downtime.
  • Support the procurement process for new vehicles, including specifications, budgeting, and vendor negotiations. 
  • Issue fuel cards and manage driver fuel card agreements, including updates and terminations
  • Other duties as assigned

 

 

Minimum Qualifications

Education and/or Experience

 

Required:

  • 2+ years of experience in fleet management or administration.
  • Strong knowledge of vehicle maintenance practices and fleet operations.
  • Proficiency in fleet management software and Microsoft Office Suite. 
  • Clear understanding of Title, Registration and Permitting process for all types of vehicles to include IFTA, Base and IRP procedures
  • Proficient in fleet management software (e.g., Samsara, Fleetio, or similar).

 

 

Preferred:

  • Bachelor's degree in Business Management, Logistics, or a related field.
  • Experience with budget management and cost analysis.
  • Familiarity with industry regulations and compliance standards.

 

Knowledge, Skills, Abilities

 

  • Ability to work independently and manage multiple priorities.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of vehicle technologies and telematics.
  • Experience with data analysis tools (e.g., Excel, Smartsheet) to track performance metrics.
  • Ability to analyze problems, identify alternative solutions, propose actions and implement recommendations, with a focus on continuous improvement.
  • Strong ability to communicate information and ideas clearly, concisely tactfully and courteously, both verbal and written, to effectively interact with business management officials, vendors, and employees
  • Adaptability and resilience to work in a high pressure, fast-paced, and time sensitive remote work environment.
  • Commitment to promoting sustainability and operational efficiency.
  • Ability to establish and maintain effective working relationships with those you are in contact with at work, whether internal or external
  • A knowledge and understanding of occupational hazards and safety procedures

 

Certificates, Licenses, Registrations: 

 

  • OSHA 10 or OSHA 30 certification, or ability to obtain certification within 90 days.
