Job Description Summary

The H-2A Assistant reports directly to the Manager, H-2A Services, and plays a crucial role in the administrative support of the H-2A Services Department. The incumbent assists in the preparation and organization of H-2A visa-related forms and documents, ensuring that all paperwork is accurate and submitted on time. Additionally, the role provides comprehensive administrative support, helping to streamline operations and facilitate efficient communication within the team. This role involves managing incoming and outgoing mail, including shipping responsibilities, and any other related tasks that support the H-2A visa application and maintenance processes.

Qualifications
  • High School diploma and one (1) to two (2) years of prior experience in an administrative capacity, preferred.
  • H-2 visa or other immigration-related professional experience, highly desired.
  • Proficiency in both English and Spanish, including business vocabulary, grammar, writing, and accurate translation abilities, is highly desired. Bilingual skills are a plus for verbal and written communication.
  • Outstanding communication, composition and writing skills, including grammar, spelling, and   punctuation. Excellent computer skills and proficiency with MS Office Suite (Word, Excel, Outlook) and Adobe Acrobat with the ability to learn new or updated software.
  • Exceptional attention to detail with high degree of accuracy, and organizational skills, able to meet deadlines, adjust to changing priorities with continued attention to detail and ability to perform well under pressure.
  • Strong ability to work efficiently and effectively in a multiple task, multi-project, and multi-demanding environment.
  • Ability to work independently, organize work economically and efficiently and maintain good interpersonal relations and communications with clients and staff.
Duties And Responsibilities
H2A Operations
  • Assist in preparing I-129 petition packages for mailing to USCIS.
  • Receive daily mail; identify, register, scan, and store I-129 packagesI-797C receipts, I-797B and I-797A Approval Notices in the case management system.
  • Identify and notify accordingly of Form I-129 notifications not received.
  • Manage incoming and outgoing mail, including shipping and tracking as needed.
  • Support internal processes by keeping digital and physical records organized in the client’s folders.
Administrative Support
  • Assist in maintaining the integrity and organization of the case management system, ensuring all information is accurate, current, and properly recorded.
  • Ensure timely entry and updates of incoming mail or documents in the system and notify relevant team members as needed.
  • Provide general administrative support, including but not limited to copying, scanning, filing, answering incoming calls, and distributing messages.
  • Act as a liaison between internal team members to ensure timely communication regarding mail received across assigned departments.
  • Occasionally assist with various special projects, research initiatives, and presentations.
