Job description

Position: Data Analyst with Executive Assistant experience
Number of hours: 40 hours/week
Schedule: CST

Tasks required:

  • Prepare and edit reports, presentations, and documents, while maintaining an organized filing system for easy retrieval

  • Manage master data, including creation, updates, and deletion

  • Provide quality assurance of imported data, working with quality assurance analysts if necessary

  • Provide project support by conducting research, gathering data, and assisting with project coordination and follow-ups

  • Handle sensitive and confidential information with the utmost discretion and professionalism

  • Help develop reports, analyses, and presentations

  • Manage and design the reporting environment, including data sources, security, and metadata

  • Assess tests and implementing new or upgraded software and assisting with strategic decisions on new systems

  • Generate reports from single or multiple systems

  • Proactively identify and resolve administrative issues, demonstrating a solution-oriented approach

  • Maintain and coordinate executive calendars, ensuring effective time management and scheduling of meetings, appointments, and travel arrangements

  • Serve as the primary point of contact between executives and internal/external stakeholders, including screening and prioritizing emails and phone calls

  • Plan, book, and organize complex domestic and international travel itineraries, including flights, accommodations, and ground transportation as needed

  • Assist end-users on new reports and dashboards

  • Other ad hoc tasks that would be assigned


Requirements:

  • Proven work experience as a Data Analyst or a relevant role is required

  • Ability to analyze existing tools and databases and provide software solution recommendations

  • Familiarity with current technologies, like desktop sharing, cloud services and VoIP tools with the ability to call US and Canadian numbers (GSuite, Zoom, Slack, Asana, Notion, etc.)

  • Working knowledge of advanced Excel functions (e.g. Power Query, Pivot Table, etc.) is a must

  • Demonstrated experience in handling large data sets and relational databases

  • Understanding of reporting & data visualization tools such as PowerBI

  • Excellent analytical skills - the ability to identify trends, patterns and insights from data

  • Strong attention to detail

  • Strong proficiency in office software and communication tools (MS Excel, MS Outlook, MS Powerpoint, etc.)

  • Knowledge of online calendars and scheduling (Calendly, Google Calendar)

  • Presentation skills ability to write and speak clearly to easily communicate complex ideas in a way that is easy to understand

  • Excellent phone, email and instant messaging communication skills

  • Great attention detail and strong problem solving skills

  • Communication skills with effective stakeholder management & conflict resolution skills

  • Ability to concentrate for lengthy periods and perform accurately with adequate speed

  • Strong verbal and written English communication skills

  • Adaptability and a proactive mindset

  • Professional demeanor and strong interpersonal skills

  • Self-disciplined and organized; able to consistently hit daily and monthly targets with limited supervision
