Overview

The Escrow Coordinator will be responsible for the opening, processing, and closing of escrow files in a proper and timely manner. This position carries a high level of responsibility for accuracy in the projection and timely coordination of escrow closings. Frequent and accurate communication with the sales, options, and field associates, as well as escrow companies and lenders, is critical. 


Responsibilities 

  • Take the lead on all new community setup activities in the Northern California division.
  • Review sales contract packages for completeness and accuracy. Copy, distribute and file accordingly. Update Newstar Database.
  • Reconcile final sales price to ensure all option upgrade monies and credits are accounted for prior to close of Escrow. Verify all deposit checks have cleared with the Title Companies.
  • Gather, complete, distribute and file accordingly all required closing documents, including Natural Hazard Reports, Tax Disclosures, Grant Deeds, Notices of Completion and FHA/VA docs (as applicable)
  • Review and approve Estimated Closing Statements (prior to closing) and Final Closing Statements (after closing) to ensure accuracy, including all fees charged by construction lender, escrow, title, lenders, and commissions.
  • Monitor loan and escrow status, which includes the following:
    1. Attend weekly status meetings with sales and preferred lenders.
    2. Update status reports daily to reflect the most current and accurate information and distribute accordingly.
    3. Monitor contingent sales status (as applicable)
    4. Monitor any cancellations.
  • Maintain all DRE Branch licenses.
  • Collaborate across departments to streamline processes and maintain consistency in document management.
  • Build a comprehensive process manual to ensure consistency and support team training.
  • Follow up with Sales on issues such as unpaid appraisals or non-responsive buyers and escalate as appropriate
  • Master mail merge functions for efficient contract generation and distribution.
  • Maintain and update the new community sales release tracker daily.
  • Work closely with Finance to ensure proper file organization for compliance and audit-readiness, including 2025 folder structures.
  • Perform all other duties as assigned.

 

Education and Additional Requirements:

  • Two+ years of experience in real estate or escrow
  • High School Diploma required
  • Proficiency with MS Word, Excel, and Outlook
  • Notary Public a plus
  • Excellent verbal, written and oral communication skills
  • Strong organization and multi-tasking skills
  • Knowledge of Newstar (or equivalent database) is a plus
  • Must possess a professional attitude to represent the company in a positive manner
  • Proactivity, flexibility, and attention to detail a must
