Overview: We are seeking a detail-oriented and highly organized Events Coordinator to manage the planning and execution of company tradeshows, conferences, internal events, and our annual customer conference. This role will oversee logistics, registration, budgeting, and onsite execution for a wide range of events—from external industry trade shows to internal sales and customer-facing gatherings.
Key Responsibilities:
Plan and execute logistics for tradeshows, industry conferences, and company-sponsored events, including booth materials, travel coordination, shipping, staffing, and vendor management
Create standard operating procedure for event management to ensure sales team alignment and organization
Manage registration processes and communications for internal and external events, ensuring accuracy and timely delivery of information
Support planning and execution of the annual customer conference, including venue logistics, vendor coordination, speaker scheduling, attendee registration, and on-site support
Coordinate internal events such as ongoing Quarterly Business Reviews (QBRs) and an Annual Sales Kickoff (SKO), ensuring seamless logistics, venue setup, A/V support, catering, and materials preparation
Track and manage event budgets, negotiate vendor contracts, and ensure events are delivered within budget and aligned with company goals
Collaborate closely with marketing, sales, customer success, and leadership teams to align event strategies and attendance to support business objectives
Maintain an up-to-date events calendar and manage timelines, attendees, and support cross-functional communications
Ensure consistent branding and messaging across all event materials, signage, and promotions
Assist with post-event recaps and reporting, lead tracking, and process improvement based on attendee feedback and event outcomes
Qualifications:
3+ years of experience in event coordination, tradeshow management, or internal event planning
Strong organizational and project management skills with keen attention to detail
Proven experience managing event budgets and vendor relationships
Excellent written and verbal communication skills; confident working with all levels of the organization
Ability to travel as needed (estimated 20–30%)
Familiarity with common project and event platforms, CRM systems, and productivity tools (e.g., HubSpot, Microsoft Office Suite, Whova) preferred
Bachelor’s degree in Marketing, Communications, Hospitality, or a related field preferred
Key Competencies:
