Overview: We are seeking a highly organized and detail-oriented Virtual Assistant to support a busy attorney by managing and organizing their email communications. The ideal candidate will have experience working with legal professionals, excellent written communication skills, and a proactive approach to ensuring the attorney stays on top of important correspondence.
Key Responsibilities:
Monitor and manage the attorney’s email inbox daily to ensure timely responses and follow-ups
Organize and categorize emails by urgency, subject matter, and client/case
Flag and prioritize critical messages that require the attorney’s immediate attention
Draft, proofread, and send email responses as directed by the attorney
Maintain a clean and organized inbox by archiving or deleting unnecessary emails
Set reminders or calendar events based on emails requiring follow-up actions
Coordinate with clients, opposing counsel, court clerks, and internal staff via email
Track communication history and maintain confidential records related to case files
Identify and implement improvements to streamline email workflow
Qualifications:
Previous experience working as a virtual assistant, executive assistant, or in a legal administrative role
Familiarity with legal terminology and basic legal office procedures is preferred
Proficient in Gmail/Outlook and email management tools (e.g., Clean Email, SaneBox, or rules/filters)
Strong attention to detail and ability to manage a high volume of communication
Excellent written communication skills and professional email etiquette
High degree of discretion and confidentiality
Self-motivated, reliable, and able to work independently with minimal supervision
Preferred Skills (not required):
Experience with legal practice management software
Understanding of court deadlines and legal documentation processes
