Job description

Location: Remote

Duration: 6 months

Preferred Time zone: This role requires candidates to be based in time zones ranging from UTC-8 to UTC+2 due to time zone alignment preferences.

Summary

The Wikimedia Foundation is seeking a Recruiting Coordinator to join the People department, supporting the Recruiting team with high-volume interview coordination, process improvement, and scheduling, while working collaboratively with recruiters and interview teams to enhance the candidate and interviewer experience. The Recruiting Coordinator will have strong attention to detail, polished communication and customer service skills and a proven ability to navigate busy, complex and global calendars across multiple timezones. As a fully remote organization, all scheduling will be for virtual meetings. We’re looking for a team member who embraces operating in highly complex environments and has an innate drive to problem solve and continuously learn, while providing an excellent and highly responsive experience for candidates and hiring teams. This is a fully remote role, with expected travel 1-2 times per year for team convenings.

We’d like you to do these things:  

  • Schedule interviews and interviewer team meetings, accommodating hiring team preferences to ensure seamless coordination
  • Support the Recruiting Associate with scheduling efforts for c-level and other complex roles as needed
  • Maintain a close rapport with recruiters to ensure they are well-supported and candidates progress through the interview process
  • Act as an internal brand ambassador to our ensure all candidates have a positive and memorable experience throughout the interview process
  • Proactively maintain Greenhouse (our applicant tracking system) and flag any scheduling roadblocks as candidates move through different stages in the interview process
  • Familiarize yourself with remote video platforms such as Google Meet to ensure interviews in multiple timezones run on time
  • Review job descriptions for accuracy and proper formatting and maintain an up-to-date record of all job descriptions in our internal database, “Office-Wiki”.
  • Research new job boards or community groups to expand our applicant pools and increase global reach
  • Generate and share reports from Greenhouse to recruiters to track data on pipelines and new hires
  • Manage and update recruiting resources on our internal team page on Office-Wiki as well as any other applicable outlets  
  • Attend, coordinate and support recruiting related events both onsite and offsite
  • Assist the Recruiting team with general administrative support and ad-hoc projects

We’d like you to have these skills:

  • 2+ years of experience in recruitment coordination, HR coordination, or similar roles with a focus on scheduling
  • Willingness to be available for overlapping hours between UTC-8/-7 and UTC+1/2 time zones
  • Experience with high volume scheduling across global calendars using Google calendar with a highly responsive approach
  • Experience using Greenhouse (Applicant Tracking System)
  • Self-starter with a proactive approach, ability to anticipate needs
  • Proven ability to approach work with a sense of urgency and an internal drive to respond to candidates, recruiters, and hiring teams in a proactive, concise and timely manner
  • Detail-oriented and organized with the ability to keep track of multiple projects and priorities efficiently
  • Ability to work with a variety of work styles, nationalities and leadership levels
  • Ability to partner effectively with distributed teams across various time zones
  • Strong interest in recruiting best practices, trends & concepts that foster fairness and accessibility

And it would be even more awesome if you have this:

  • Passion for Wikipedia and other Wikimedia projects
  • Fluency in languages other than English
  • Understanding of open source principles

Salaries at the Wikimedia Foundation are set in a way that is competitive, equitable, and consistent with our values and culture. The anticipated hourly pay range of this position for applicants based within the United States is $29.22 to $44.61 with multiple individualized factors, including cost of living in the location, being the determinants of the offered pay. For applicants located outside of the US, the pay range will be adjusted to the country of hire. We neither ask for nor take into consideration the salary history of applicants. The compensation for a successful applicant will be based on their skills, experience and location.
