JOB SUMMARY:
As the Executive Admin at our midsize emblem and label manufacturing company, you will play a crucial role
in supporting the executive leadership team and ensuring the smooth functioning of administrative
operations. You will be responsible for handling a wide range of administrative tasks, coordinating executive
communications, managing schedules, and providing efficient support to enable the executives to focus on
strategic decision-making and driving Lean manufacturing principles throughout the organization. Your
professionalism, organizational skills, and attention to detail will be essential in contributing to the overall
success of the organization.
Essential Duties And Responsibilities
Executive Support
- Provide comprehensive administrative support to the executive leadership team, including the CEO,
COO, and other senior executives.
- Manage executive calendars, schedule appointments, and arrange meetings
- Prepare and distribute meeting agendas, documents, and presentations.
Communication Management
- Act as the primary point of contact for internal and external communications addressed to the
executives.
- Handle incoming and outgoing correspondence, including emails, phone calls, and other forms of communication.
Travel and Logistics
- Coordinate travel arrangements for executives, including flight bookings, hotel accommodation, and ground transportation when necessary
- Prepare travel itineraries and ensure all travel-related documents are in order.
Document Management
- Organize and maintain important company documents, files, and records.
- Assist in preparing reports, memos, and presentations as required.
Meeting Coordination
- Arrange and coordinate executive meetings, conferences, and events.
- Ensure meeting venues, equipment, and necessary resources are prepared in advance.
Office Management
- Oversee general office operations, including managing office supplies and equipment.
- Coordinate with vendors and service providers for office maintenance and support.
Confidentiality and Discretion
- Handle sensitive and confidential information with the utmost professionalism and discretion.
Cross-Functional Support
- Collaborate with other departments and team members to facilitate effective communication and teamwork.
- Assist with special projects and initiatives as assigned.
Lean Manufacturing Support
- Foster a culture of Lean manufacturing principles by applying them to administrative processes, streamlining operations, and optimizing efficiency.
What You Need
- Bachelor’s degree in business administration or a related field is preferred, but not mandatory.
- Proven experience as an Executive Administrative Assistant, or similar role supporting senior executives.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong attention to detail and accuracy in handling administrative tasks.
- Proficiency in using productivity tools and software, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Outstanding communication skills, both written and verbal.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proactive and self-motivated with a problem-solving mindset.
- Ability to work independently and as part of a team in a fast-paced environment.
- A professional and courteous demeanor when interacting with colleagues, clients, and stakeholders.
