Job description

This is a remote position.

Schedule:  Flexible during the client's business hours

Client Timezone: Longmont, CO Time

Client Overview:

We are seeking a proactive, organized, and detail-oriented Administrative Specialist to support our small but dynamic marketing agency. The ideal candidate is positive, communicative, and able to follow directives while working autonomously to complete tasks. This position offers flexibility in scheduling, with the requirement of availability for some communication during the day.

This role focuses on administrative tasks related to data management, client support, and team coordination.


Key Responsibilities:
  • Data Tracking and Reporting: Manage and update weekly reports of client leads, ensuring accurate and timely delivery to clients.
  • Client Software Setup: Handle new client software and account setup across marketing channels, including account access and password management.
  • Reporting Coordination: Pull data from multiple marketing tools into reporting platforms and ensure reports are sent to clients as scheduled.
  • Content and Project Tracking: Maintain regular updates to client content tracking systems and assist in keeping project timelines on track.
  • Target List Management: Create and maintain target lists for marketing campaigns.
  • Administrative Support: Perform general administrative duties, such as scheduling, organizing files, and coordinating communication between team members and clients.


Requirements
  • Strong organizational and time management skills, with attention to detail and accuracy.
  • Excellent communication abilities, both written and verbal, with a professional demeanor.
  • Tech-savvy and comfortable managing software setups, integrations, and password systems.
  • Proactive and curious mindset, eager to learn and improve processes.
  • Experience with administrative tasks in a marketing or data-driven environment is a plus.
  • Ability to work independently and handle multiple tasks in a fast-paced environment.
