Overview

We are looking for a Purchase Administrator to join a dynamic team working with international suppliers, primarily in Italy. The ideal candidate will have strong communication skills in both Italian and English and the ability to interface with Italian suppliers who primarily speak Italian. This role involves administrative tasks, managing purchase requests, and creating purchase orders using a web-based ERP system. Additionally, there will be opportunities for small-scale negotiations under supervision. This is a remote position with an overlap in working hours with the Central European Time (CET) zone.

Responsibilities

  • Communicate effectively with Italian suppliers, ensuring smooth interactions and clarifications as needed.
  • Manage Purchase Requests by coordinating with internal colleagues and converting them into Purchase Orders using the company’s web-based ERP system.
  • Conduct small-scale negotiations for purchases, with the potential for expanded responsibilities based on performance.
  • Review internal documents for accuracy before sending them to external suppliers to prevent costly errors.
  • Utilize Microsoft Office tools, especially Excel, for data aggregation, analysis, and creating pivot tables.
  • Collaborate with senior buyers and team members to ensure procurement processes are followed efficiently.
  • Support the integration of procurement activities across different subsidiaries in Italy, Portugal, and the UK.

Requirements

  • Fluent in Italian (C1 level) and proficient in English.
  • 1+ years of experience in procurement.
  • Strong proficiency in Microsoft Office Suite, especially Excel (e.g., pivot tables, data aggregation).
  • Experience with ERP systems (SAP, Oracle, or similar) is a plus, but not mandatory as training will be provided.
  • Excellent organizational skills, attention to detail, and the ability to work independently.
  • Flexibility to adapt to varying tasks and willingness to learn new processes.
  • Ability to work remotely with availability to overlap with CET business hours (starting no later than 8:30 AM Argentina time).
