Job description

This is a remote position.

Schedule:

  • 40 hours per week
  • Monday to Friday, 9AM to 5PM Toronto Canada (9:00 PM to 5:00 AM PHT)
  • Includes 30 minutes paid break

Job Description

Dive into the fast-paced world of life insurance as an Executive Assistant. You’ll be the backbone of daily operations, managing crucial client relationships and streamlining business processes. This role offers a unique opportunity to gain invaluable experience in the financial services sector, working directly with the business owner to drive success. You’ll handle a diverse range of tasks, from CRM management to presentation preparation, all while developing a deep understanding of the life insurance industry.


Responsibilities:
  • Manage and update client information in the Pipedrive CRM system
  • Log into insurance company portals to check status updates and manage information
  • Schedule appointments and follow up with clients and referral partners
  • Prepare and modify PowerPoint presentations using existing templates
  • Transpose information accurately between different insurance company forms
  • Manage document checklists and compile information for lender submissions
  • Draft professional emails and cover letters based on provided templates and guidance
  • Assist in pipeline reviews and track ongoing business activities
  • Update and maintain financial records, including targets and year-to-date results
  • Provide general administrative support to the business owner
Qualifications
  • Minimum of 5 years supporting an Executive Director or C-level staff.
  • Post-secondary education in administrative studies or equivalent experience.
  • Advanced skills in MS Office (Word, Excel, PowerPoint).
  • Strong organizational and time management skills; ability to work independently.
  • Professional handling of sensitive and confidential information.
  • Excellent oral, written communication, and proofreading skills.
  • Life insurance qualifications or willingness to obtain (preferred).
  • Experience in Human Resources, financial services, insurance, or project management (assets).
