Job description

This is a remote position.

Position Overview:

The Sales Secretary will provide administrative support to the sales team and ensure the smooth operation of sales activities. This role requires excellent organizational skills, strong attention to detail, and the ability to handle multiple tasks efficiently. The Sales Secretary will be responsible for managing schedules, preparing sales documents, and facilitating communication within the sales department and with clients.

 

Key Responsibilities:

 

1. Administrative Support:

   - Assist the sales team with day-to-day administrative tasks.

   - Manage and maintain schedules, appointments, and meetings for the sales team.

   - Prepare and distribute sales documents, reports, and presentations.

   - Handle incoming and outgoing correspondence, including emails and phone calls.

 

2. Customer Service:

   - Serve as a point of contact for clients and customers, providing information and support as needed.

   - Coordinate and follow up on customer inquiries and requests.

   - Maintain positive relationships with clients through regular communication.

 

3. Sales Coordination:

   - Assist in the preparation and organization of sales events, meetings, and presentations.

   - Track and update sales records, including contracts, orders, and invoices.

   - Monitor sales performance metrics and prepare relevant reports for the sales manager.

 

4. Documentation and Data Management:

   - Maintain and update customer databases and contact lists.

   - Ensure all sales documents are accurately filed and easily accessible.

   - Prepare and process sales-related paperwork and documentation.

 

5. Team Collaboration:

   - Collaborate with other departments to ensure smooth sales operations.

   - Provide support to the sales team in achieving sales targets and goals.

   - Participate in sales meetings and provide input on sales strategies and initiatives.

 

Qualifications:

 

- High school diploma or equivalent; additional qualification as a Sales Secretary or relevant field is a plus.

- Proven experience in an administrative or sales support role.

- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).

- Excellent communication and interpersonal skills.

- Strong organizational and time-management skills.

- Ability to work independently and as part of a team.

- Detail-oriented and able to handle multiple tasks simultaneously.

- Familiarity with sales software and CRM systems is advantageous.

 

Working Conditions:

 

- Standard office environment with occasional travel for sales events or client meetings.

- Full-time position with standard working hours;
