Job description

This is a remote position.

The Projects and Client Communications Manager is responsible for overseeing the full lifecycle of research and analytics projects, ensuring they are delivered on time, within scope, and to the highest quality standards. A critical aspect of this role is the diligent tracking and recording of all project activities in Zoho Projects, which is essential for the success of the role. Accurate data management enables precise reporting, comprehensive analysis, and informed decision-making. Additionally, the manager will handle all client communications, and ensuring that billing and invoicing is done at key project milestones. Fostering strong client satisfaction is a top priority. Weekly updates to the CEO are required to keep leadership informed on project status and performance.

Key Responsibilities:
  • Project Management Using Zoho Suite:

    • Utilize Zoho Projects to manage every aspect of project lifecycles, from planning through execution to closure.
    • Ensure all project tasks, updates, and changes are consistently tracked and recorded in Zoho Projects, maintaining an accurate, real-time view of project activities.
    • Use Zoho tools to monitor project progress, identify potential risks, and implement timely mitigation strategies.
    • Facilitate regular project meetings and status reviews, leveraging Zoho tools to ensure alignment and communication across all stakeholders.
  • Client Communications and Billing:

    • Serve as the primary point of contact for clients, managing all communications through Zoho CRM.
    • Ensure billing occurs at relevant project triggers, such as mobilization and report submission, and that invoices are promptly sent to clients.
    • Provide regular updates to clients on project status, including financial aspects, ensuring transparency and maintaining strong client relationships.
  • Client Satisfaction:

    • Ensure client satisfaction is a priority by maintaining regular, transparent communication and delivering on project commitments.
    • Administer client satisfaction surveys using Zoho Survey at the completion of each project to gather feedback on project performance, communication, and overall experience.
    • Analyze feedback from client surveys to identify areas for improvement and implement necessary changes to enhance future project delivery.
    • Report on client satisfaction metrics and feedback to the CEO and relevant teams to drive continuous improvement and maintain high standards of client service.
  • Measurement and Analytics:

    • Develop and implement metrics in Zoho Projects to measure project performance, client satisfaction, and team efficiency.
    • Regularly analyze data from Zoho Projects and Zoho Analytics to identify trends, patterns, and areas for improvement.
    • Create detailed dashboards and reports in Zoho Analytics for internal and client-facing use, highlighting key performance indicators (KPIs) and project outcomes.
  • Task Management and Reporting:

    • Maintain strict adherence to task management protocols, ensuring all team members update their tasks in Zoho Projects consistently.
    • Ensure all project-related data is meticulously recorded to support accurate analysis and reporting.
    • Produce comprehensive, data-driven project reports summarizing progress, challenges, risks, and next steps using Zoho Writer and Zoho Analytics.
  • Weekly Updates to CEO:

    • Provide structured, data-rich weekly updates to the CEO, focusing on project statuses, key achievements, challenges, and recommendations.
    • Utilize insights from Zoho Analytics to support strategic decision-making and continuous improvement.
  • Team Collaboration:

    • Promote a culture of harmony and teamwork, ensuring all team members are aligned and working collaboratively towards shared goals.
    • Use Zoho Connect and Zoho Cliq to foster open communication, feedback, and knowledge sharing.
    • Ensure all team members are effectively using Zoho tools, emphasizing the importance of accurate data recording for project success.


Requirements
  • Education and Experience:

    • Bachelor’s degree in Business Administration, Project Management, Marketing, or a related field. OR relevant certificate/diploma
    • 3-5 years of experience in project management, client communications, or a related role, preferably within a research or data analytics environment.
    • Proven track record of managing multiple projects simultaneously with a focus on measurement, analytics, and task management.
  • Skills and Competencies:

    • Strong proficiency in the Zoho suite of tools (Zoho Projects, Zoho CRM, Zoho Analytics, Zoho Books, Zoho Writer, Zoho Survey, etc.).
    • Exceptional organizational skills with a keen attention to detail.
    • Excellent verbal and written communication skills, capable of effectively engaging clients and stakeholders.
    • Strong analytical and problem-solving abilities, with experience in data-driven decision-making.
    • Ability to work independently and collaboratively in a fast-paced environment.
    • Strong leadership and team collaboration skills, fostering a culture of harmony and teamwork.
  • Other Qualifications:

    • Ability to handle sensitive information with confidentiality.
    • Flexibility to adapt to changing priorities and deadlines.
    • Project Management certification (e.g., PMP, PRINCE2) is a plus.
